Engagement Project Coordinator to support the Learning & Organizational Development (L&OD) as part of the Strategic Talent Management portfolio in designing and delivering experiences that enhance employee engagement, recognition, and appreciation. The
Engagement Project Coordinator will play a key role in managing projects from start to finish including: organizing programs, coordinating communication, supporting project logistics, liaising with vendors, and ensuring the smooth execution of processes related to engagement, recognition, and appreciation efforts.
Key ResponsibilitiesEngagement, Recognition, and Appreciation Programs- Plan, coordinate, and execute employee engagement and recognition events that foster a positive work environment.
- Support the administration of engagement and employee life-cycle surveys, ensuring that awareness and desire to participate is high, and the distribution, data collection, and reporting of insights is timely.
- Manage communication and collaboration with internal colleagues and external consultants to maintain alignment on engagement, appreciation and recognition strategies and ensure program timelines are met.
- Identify and implement process improvements to enhance the efficiency and effectiveness of engagement, recognition, and appreciation initiatives.
- Serve as one of the SharePoint administrators for the L&OD team, ensuring content is updated, organized, and aligned with operational needs.
Collaborator & Relationship Management- Coordinate employee engagement activities, including scheduling facility bookings, tracking promotional item inventory, and managing event invitations and attendance.
- Respond to inquiries from internal team members and external collaborators, providing clear and timely information via phone, email, and in person.
- Work closely with the Communications team to ensure consistent messaging and alignment with organizational strategies.
- Build strong relationships with the L&OD team, providing administrative and logistical support to enhance collaboration and effectiveness.
Project Management & Implementation- Create project plans, and coordinate project activities, resources, equipment and information.
- Assist with event logistics, including venue selection, material preparation, and on-site coordination.
- Track project progress, provide timely status updates, and participate in after-action reviews, capturing lessons learned and identifying opportunities for continuous improvement in engagement and appreciation programs.
- Identify and mitigate risks related to initiatives, escalating issues and proposing solutions as necessary.
Operational Coordination & Administrative Excellence- Create purchase orders, process purchase and payment requests, track approvals, and ensure financial reconciliation for engagement-related expenditures.
- Work collaboratively with the L&OD Manager and team to troubleshoot challenges and optimize program execution.
- Apply a future-oriented and innovation-focused mindset, staying informed of emerging trends and best practices in employee engagement and organizational development.
- Develop and track key performance indicators (KPIs) to measure the success of initiatives and inform strategic decisions.
Qualifications & RequirementsEducation & Experience- Bachelor’s degree in Business Administration, Planning, Psychology, Adult Learning, or a related field.
- Minimum 3 years of experience in healthcare, with demonstrated expertise in project coordination or project management.
Technology & Digital Proficiency Knowledge- Expertise in Microsoft Office Suite, including Word, Excel, PowerPoint, SharePoint, Forms, Power BI, and Teams.
- Experience managing SharePoint content and workflows to enhance team collaboration and document organization.
- Familiarity with survey platforms (e.g., Qualtrics) for data collection, analysis, and reporting.
- Proficiency in using project management and tracking tools (e.g., Monday.com) to monitor progress and streamline workflows.
Project Management & Event Coordination- Strong organizational and time-management skills, with the ability to manage multiple projects simultaneously.
- Ability to develop and interpret flowcharts, schedules, and action plans to ensure efficient execution.
- Demonstrated ability to track project progress, identify risks, and proactively implement solutions.
- Experience in designing and executing engagement and recognition initiatives that align with organizational culture and priorities.
Communication & Relationship Management- Excellent verbal and written communication skills, with the ability to engage stakeholders at all levels.
- Strong interpersonal skills for building and maintaining positive relationships across teams and departments.
- Ability to problem-solve and facilitate issue resolution in a collaborative manner.
- Experience working with cross-functional teams to align initiatives and drive engagement.
- Demonstrated knowledge of performance measurement, quality improvement and risk management; ability to identify risks, intervene effectively and escalate appropriately.
