Overview

Bayshore HealthCare’s Northern Staffing program has provided high-quality community health care solutions to Canada's North since 1997. Our Employee Support Team supports our Healthcare Professionals from all over Canada who travel on assignments to remote northern communities of British Columbia, Alberta, Manitoba, Ontario, Yukon, Northwest Territories and Nunavut. The Manager of Employee Support is seeking an Employee Support Coordinator to support the customer service experience of field and administrative teams, and provide support in special projects such as independent contractor requirements. This role acts as a seamless extension of the Bayshore Northern Staffing administration team and works closely with the Director of Operations, Director of Clinical Services, and other management team members.

This role requires attention to detail, strong organizational skills, and the ability to meet tight deadlines while juggling multiple critical requests across the divisional team. The ideal candidate will be an experienced incumbent who can support a number of operating systems, manage complex credentials and onboarding requirements for new hires to Bayshore Northern Staffing, serve as a point of contact for independent contractor requirements, and provide backup support for the Bayshore Northern Staffing Response inbox and incoming calls, triaging inquiries.

The individual in this role must understand Bayshore Northern Staffing business priorities, proactively anticipate needs, and drive improvements in overall communication and responses to field staff and independent contractors. A high level of integrity and discretion in handling confidential information and professionalism when dealing with internal and potential external stakeholders is critical. The successful candidate will be able to complete complex tasks autonomously, respond with appropriate urgency, and take effective action.

Responsibilities
  • Management of credentials, certificates and funder requirements for employees and independent contractors [IC]; works closely with onboarding coaches.
  • Provide first-level contact via email, triage inquiries to appropriate management team members, and track timeliness of completion.
  • Backup to the administrative assistant in supporting the Clinical/Education team orientation/practicum process by sending meeting invitations and assigning self-learning modules.
  • Maintain reports for new hires, assist with coordination of practicum, and work closely with educators for any outstanding support.
  • Co-facilitate review meetings with the Manager of Employee Support and present data to the Director of Operations and Director of Clinical Services.
  • Assist with Employee Support project development/roll-out as required and requested by the Manager of Employee Support.
  • Coordinate, support and assist the Manager of Employee Support for team activities as required (team meetings, reports, process development).
Candidate Requirements
  • College Diploma in Business Administration, or a combination of post-secondary education and progressively responsible experience.
  • 2–4 years of direct work experience in a healthcare environment.
  • Hands-on experience with Microsoft Office applications, including Word, Excel, PowerPoint, Outlook.
  • Experience in documentation management systems and client relationship systems would be an asset.
  • Able to write and format moderately complex correspondence, including memos and letters.
