Hours: Full time, 35 hours per week

Term: 1 year term contract

Salary: $28.00/hour

Reports to: Disaster Recovery Manager

PURPOSE AND SUMMARY

The Emergency Program Assistant plays a key role in supporting the Disaster Recovery Manager by providing vital administrative and operational assistance. This position serves as an Emergency Program Assistant, providing essential support to the Sumas First Nation (SFN) Emergency Management Department across all four pillars of emergency management: mitigation, preparedness, response, and recovery. The role plays a key part in assisting the department’s transition from immediate response to long-term recovery and preparedness planning, while contributing to coordination, administration, training, and community engagement efforts.

DUTIES AND RESPONSIBILITIES
  • Collaborate with SFN Management, external partners, and government agencies to support the transition from emergency response to long-term recovery and preparedness efforts,
  • Assist in developing, scheduling, and executing the long-term recovery and preparedness plans.
  • Attend meetings, take minutes, and produce reports for the Disaster Recovery Manager.
  • Collect information from various sources for disaster recovery and preparedness coordination.
  • Document and forward inquiries to the Disaster Recovery Manager.
  • Coordinate with other agencies involved in recovery and preparedness efforts.
  • Support the planning and delivery of public outreach and engagement activities, including education for residents and businesses on recovery and preparedness initiatives.
  • Assist with the procurement of materials, supplies, and equipment necessary for recovery and preparedness operations.
  • Maintain detailed and accurate records of expenses, operational budgets, and time allocations related to recovery efforts and preparedness planning.
  • Liaise with the SFN community to organize and support recovery and preparedness information sessions, and assist in planning and delivering training and workshops for staff and community members to strengthen overall emergency preparedness.
  • Be willing to train in the Incident Command System (ICS) and provide support in the Emergency Operations Centre (EOC) during activations as needed.
  • Perform other duties and responsibilities as required.
EDUCATION AND EXPERIENCE
  • High school diploma or equivalent.
  • Experience in emergency management, information collection and analysis, and community engagement is an advantage.
  • Flexibility in work schedule to accommodate operational needs, including evening work if necessary.
  • Strong administrative background skills are desirable.
  • Valid Class 5 BC Driver’s license, with access to a reliable vehicle.
  • Prior experience in a fast-paced office environment with the ability to prioritize tasks.
  • Experience working with First Nations communities and/or organizations is beneficial.
  • Proven ability to maintain confidentiality.
  • Working knowledge of office procedures, records management, and document processing.
  • Ability to develop and maintain effective working relationships with peers, managers, community members, contractors, and suppliers.
  • Eagerness to learn new skills and adapt to challenges.
  • Preference will be given to candidates of First Nations descent.
  • Proficiency in Microsoft Excel, Word, Zoom, and Teams is preferred.
