We are looking to fill a position for a TC Hire & Freight Assistant Manager, Post Fixture to join our dynamic team based in Montreal. You will oversee all aspects of time charter hire, including processing hire statements, verifying charter details, and managing rebills. You will also be required to back up the Freight Team, to approve and process all freight, laytime, detention and voyage rebills. Manage the Receivables Summary and ensure our internal guidelines are being met for collections and processing.

WHAT YOU'LL BE DOING | THE ROLE

  • Oversee time charter hire processes with a focus on consistency and accuracy.
  • Run statements for hire, off hires, and rebills, collaborating closely with operators to ensure timely and accurate processing.
  • Verify time charter in (TCI) details to ensure compliance and accuracy.
  • Conduct regular follow-ups to ensure all processes are on track and issues are resolved promptly.
  • Perform reconciliation of accounts to ensure accuracy and completeness.
  • Chase funds to ensure timely payments and financial accuracy.
  • Close files as quickly as possible.
  • Collaborate with Payables to ensure timely remittances are made and Workday mirrors VIP.
  • Approve initial freight transactions.
  • Prepare and process balance of freight invoices, laytime, detention and rebills.
  • Attach any necessary supports if needed.
  • Maintain internal records for ease of workflow and backup coordination.
  • Maintain receivables summary and follow up on outstanding funds daily.
  • Process voyage commissions.
  • Provide VIP system support for entering freight-related changes.
  • Co-ordinate with other offices and colleagues handling freight invoicing.
  • Collaborate with Operations & Chartering to ensure accuracy.

WHAT YOU BRING | THE PERSON

  • Proven experience/education in maritime shipping or a related field.
  • Strong understanding of time charter hire processes.
  • Excellent attention to detail and organizational skills.
  • Ability to work collaboratively with operators and other team members.
  • Ability to work independently.
  • Strong communication and follow-up skills in English.
