Wilkar Property Management Inc., based in Westmount, specializes in residential condominium property management in the Montreal area. We are seeking an onsite Administrative Assistant to work alongside a Property Manager managing prestigious condominiums in Westmount. The Assistant will greet residents and/or suppliers at the front desk and support the Property Manager with administrative tasks.

Roles, Responsibilities and Activities:
  1. Work onsite.
  2. Greet and assist residents, visitors, and suppliers.
  3. Maintain and update filing systems and databases (lease copies, contact info, service contracts, by-laws, documents, etc.).
  4. Handle administrative correspondence via communication portals, emails, and phone (memos, notices, newsletters, inquiries, service requests, complaints, rule violations, document requests, etc.), with approval from the Property Manager.
  5. Manage amenity bookings and deliveries.
  6. Organize moves, handle key/magnetic chip/garage key requests, update intercom systems as needed.
  7. Assist the Property Manager with administrative tasks as required.
Desired Qualifications:
  1. Fluent in French and English (oral and written). English is essential for responding to English-speaking clients.
  2. Adaptable to learning new operating systems.
  3. Familiarity with Upperbee and Google Workspace is an asset.
  4. At least 3 years of relevant administrative and customer service experience.
  5. Team player, capable of working independently.
  6. Excellent leadership and communication skills.
  7. Proactive and organized.
  8. Capable of stress management.
  9. Positive attitude.
  10. Computer literate.
