Based out of Meadowvale Corporate Centre, the Assistant Property Manager will support a portfolio of Industrial properties. Reporting to the Property Manager, the successful incumbent will be responsible for providing best in class customer service in the day-to-day operations of the portfolio.

Responsibilities

  • Provide support to the Property Manager in the day-to-day activities for buildings in the portfolio and assist in completing annual budgeted projects within budgeted amounts.
  • Supervise contracts/contractors’ obligations for major service contracts.
  • Analyze financial statements for preparation and posting of monthly and quarterly reports.
  • Assist with the annual budget process for buildings within the portfolio.
  • Liaise with tenants for escalated collection of accounts receivable matters and reconcile accounts.
  • Administer lease related payments (i.e. tenant allowances, etc.).
  • Process Capital invoices with backup as required (i.e. cost control).
  • Perform administrative functions relating to property management and analysis of leases.
  • Tender operational contracts (landscaping/snow removal, HVAC, etc.) as required.
  • Maintain and update contract schedule and various databases.
  • Monitor and follow up on QuadReal Connect/Tenant maintenance requests to ensure overall service delivery is consistent with QuadReal standards.
  • Maintain tenant manuals and assist with coordination of tenant appreciation functions for the buildings in the portfolio.
  • Oversee periodic tenant surveys, ensuring distribution of surveys on a timely basis and encouraging maximum participation of all tenants. Review all survey responses, analyzing trends and concerns. Follow up with all tenants providing written feedback on overall ratings and speak to all tenants to ensure issues have been dealt with to the satisfaction of the tenant.
  • Prepare and distribute correspondence to tenants.
  • Review monthly recurring billings.
  • Assist with preparation and distribution of Rental Letters.
  • Liaise with tenants and follow-up communication for dealing with tenant matters.
  • Monitor and track vacant unit utility accounts.
  • Read and understand leases to ensure accurate information is received and maintained.
  • Review Lease Review Checklists and reports (LRC’s).

Requirements:

  • Proven experience in property management.
  • Strong customer service skills with a proactive approach.
  • Positive attitude with a willingness to learn and adapt.
  • Solid understanding of financial reporting and budget preparation.

Preferred Qualifications:

  • Experience with Yardi property management software.
  • Previous experience as an Assistant Property Manager.
