Job summary

Scarborough Health Network (SHN) invites an Education Coordinator to support non-clinical learner placements across three hospitals and eight sites. You will coordinate onboarding, liaise with academic partners, and help expand experiential learning opportunities for students and graduates in business, HR, IT and other disciplines.

You will manage placement records, pre-placement requirements, and compliance while building partnerships with universities and colleges to broaden SHN's education

Qualifications

  • Undergraduate degree in a relevant field with experience in hospital or post-secondary settings.
  • Experience coordinating student placements, internships, co-ops, or experiential learning.
  • Knowledge of Ontario post‑secondary placement frameworks (co-op, WIL, capstone, practicum) and PHIPA privacy rules.

Responsibilities

  • Coordinate intake, scheduling and onboarding of non-clinical learners across SHN with appropriate host departments.
  • Serve as the primary liaison with academic partners and manage MOUs and placement agreements.
  • Plan career exposure activities and develop promotional materials for non-clinical learning.
  • Monitor records, compliance, and reporting for learner onboarding and evaluations.

Job Description

Overview: Scarborough Health Network (SHN) is shaping the future of health care across our three hospitals and eight satellite sites. We are a proud community teaching affiliate hospital of the University of Toronto and a partner to several other academic institutions, committed to training the next generation of health care professionals. SHN is building a centralized Medical Education Office to support undergraduate and postgraduate medical learners while advancing its vision of becoming Canada’s leading community teaching health network. SHN will also play a pivotal role in providing clinical training to the new Scarborough Academy of Medicine opening in 2027.



Position Overview

The Education Coordinator plays a key role in supporting SHN’s growing portfolio of non-clinical experiential learning, placements, and observerships. Reporting to the Director, Education, this role serves as the primary point of contact for non‑clinical learners (e.g., students in business, health administration, human resources, finance, information technology, communications, health information management, supply chain, research, and other non‑clinical disciplines), academic partner institutions, and SHN departments hosting learners. The Education Coordinator leads the end‑to‑end coordination and onboarding of non‑clinical learners and supports the development of new experiential learning opportunities that expose students and prospective graduates to the breadth of careers available in a community teaching hospital. This work is foundational to SHN’s vision of becoming Canada’s leading community teaching health network and to broadening the pipeline of talent into hospital‑based, non‑clinical careers.



Key Responsibilities

Non‑Clinical Placement Coordination & Learner Onboarding: Coordinate intake, scheduling, and onboarding of non‑clinical learners across SHN, including co‑op students, interns, practicum and capstone students, and other work‑integrated learning (WIL) placements. Match learner placement requests with appropriate SHN departments and host supervisors, balancing learner objectives, departmental capacity, and operational priorities. Manage registration, pre‑placement requirements, access provisions (IT, ID badges, parking, scrubs where applicable), and orientation for incoming learners. Maintain accurate learner records, placement databases, and tracking systems for all non‑clinical learners. Coordinate placement agreements, confidentiality forms, immunization and police record check requirements, and other pre‑placement compliance documentation. Provide a consistent point of contact for non‑clinical learners throughout their placement and support timely offboarding.


Stakeholder Engagement & Communication: Serve as the primary liaison between SHN and academic partner institutions (universities, colleges, secondary schools, and other training providers) for non‑clinical placements. Build and maintain relationships with placement coordinators, co‑op offices, and career services teams at partner institutions. Coordinate the review, execution, and renewal of placement agreements and Memoranda of Understanding (MOUs), working with the Education Leadership team. Identify new partnership opportunities that align with SHN’s strategic priorities, including outreach to Scarborough-based and equity‑deserving communities. Draft professional communications, including placement confirmations, partner updates, and program announcements. Coordinate placement‑related meetings and provide administrative support, including agendas, minutes, and follow‑up actions.


Project & Process Management: Support the development of new experiential learning opportunities across SHN’s non‑clinical functions, in partnership with the Director, Education, and SHN department leaders. Plan and coordinate career exposure activities (e.g., job shadows, career panels, hospital tours, career discovery days) to introduce students and prospective graduates to the breadth of careers within a community teaching hospital. Partner with secondary schools (including Specialist High Skills Major and co‑op programs) and post‑secondary institutions to design accessible entry points into hospital careers, with a particular focus on Scarborough‑based and equity‑deserving learners. Collect and showcase placement and career exposure success stories to support recruitment, partnership development, and SHN’s academic mission. Develop and maintain promotional and informational materials about non‑clinical learning opportunities at SHN.


Data Management & Reportin: Monitor, evaluate, and report on program outcomings, including learner feedback and program evaluations. Ensure data accuracy for learner records, compliance reporting, and accreditation standards. Develop and maintain tracking systems for learner onboarding, evaluations, and faculty appointments.


Other: Other duties as required by the Director, Education and the Executive Vice President, Academics.



Requirements

Undergraduate degree in a relevant field or higher. Minimum of three years of related administrative experience, preferably in a hospital or post‑secondary environment. Demonstrated experience coordinating student placements, internships, co‑ops, or experiential learning. Working knowledge of Ontario post‑secondary placement frameworks (co‑op, WIL, capstone, practicum) and pre‑placement compliance requirements. Familiarity with hospital onboarding processes, privacy legislation (PHIPA), and confidentiality requirements is an asset. Co‑operative education, work‑integrated learning, or career development certification (e.g., CEWIL, CDP) is considered an asset. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Superior organizational, time management, and administrative skills. Strong customer service orientation and stakeholder management abilities. Excellent written and verbal communication skills, including drafting professional‑level communications. Ability to manage competing priorities and work independently in a fast‑paced environment, while maintaining a high degree of accuracy and quality. Exceptional problem‑solving, analytical, and conflict‑resolution skills. Ability to exercise discretion, diplomacy, and sound judgment on confidential matters.



Working Conditions

Location: The main site is Centenary Hospital but must rove between all hospitals with the option to work remotely one (1) day per week.


Schedule: Regular full‑time position with flexibility to work outside regular business hours to meet departmental needs as necessary.


Travel: Travel between SHN hospitals (Centenary, General, and Birchmount) is required.
