Job summary

University of Toronto’s Temerty Faculty of Medicine is seeking an Education Assistant to support education programs within the Department of Psychiatry. You will coordinate tasks across subspecialty programs, fellowships and faculty development, ensuring attention to detail in a fast-paced setting.

You will be the primary contact for enquiries, coordinate seminars and workshops, and assist with event logistics and reporting while upholding confidentiality and strong communication with learners

Qualifications

  • Advanced College Diploma (3 years) or acceptable education/experience mix.
  • Minimum two years experience coordinating education programs and projects.
  • Experience providing frontline learner support and responding to enquiries.
  • Experience tracking learners and verifying program completion.
  • Experience coordinating meetings, agendas, minutes and follow-ups.
  • Experience organizing in-person and virtual events and logistics.
  • Experience maintaining databases, records and generating reports.
  • Proficiency in MS Office and common admin tools; shared mailboxes/calendars, Zoom.
  • Strong written and verbal communication and liaison with learners, faculty and contacts.
  • Excellent organization and time-management; ability to meet deadlines and handle confidential information.

As the Education Assistant, you will play an integral role in supporting education programs within the Department of Psychiatry’s growing education portfolio, including the three subspecialty programs, fellowships, and related faculty development initiatives. You will coordinate a wide variety of program tasks that require strong attention to detail and adaptability within a fast-paced environment. Through excellent organizational and communication skills, you will contribute to the effective coordination and delivery of the Department’s educational activities.

Your responsibilities will include:
  • Providing detailed information to learners on program requirements, supporting learner needs, and tracking and monitoring learner progress
  • Acting as the first point of contact for general enquiries, and responding within the defined scope of the role
  • Liaising with learners, faculty, and internal and external contacts to coordinate program activities, seminars, and workshops
  • Coordinating meeting schedules, agendas, materials, action and follow-up items, and taking and distributing meeting minutes
  • Supporting internal and external program reviews by coordinating required materials and documentation
  • Determining logistical details and activities for events and/or programming
  • Handling sensitive and/or confidential information, updating and maintaining records, and generating reports
Essential Qualifications:
  • Advanced College Diploma (3 years) or an acceptable combination of education and experience
  • Minimum two (2) years of experience supporting and coordinating education programs and projects
  • Demonstrated experience providing frontline learner support, including serving as a first point of contact for enquiries and providing program information
  • Demonstrated experience tracking and monitoring learners and checking completion of program requirements
  • Demonstrated experience coordinating meetings, including schedules, agendas, materials, action and follow-up items, and taking meeting minutes
  • Experience organizing and executing events both in person and virtually, including coordinating logistics
  • Experience maintaining information in databases and digital platforms, updating program records, and generating reports
  • Strong proficiency with MS Office and other common administrative tools and systems (e.g., shared mailboxes and calendars, Zoom)
  • Strong written and verbal communication skills, with the ability to liaise effectively with learners, faculty, and internal and external contacts
  • Excellent organizational and time-management skills, with demonstrated ability to prioritize activities and meet deadlines
  • Ability to handle sensitive and confidential information with discretion, professionalism, and sound judgment
