Job summary

George Gordon First Nation is seeking an Education Administrative Assistant to provide essential office support, coordinate meetings, and manage communications for the Education program.

You will handle confidential materials, prepare agendas and minutes, and assist with travel arrangements and reporting. Proficiency with office applications and strong organizational skills are required to ensure timely, accurate work.

Responsibilities

  • Professionally answer, screen, and direct incoming telephone inquiries.
  • Responsible for confidential and time sensitive material.
  • Coordinate, organize, and schedule meetings, including logistics and preparation.
  • Prepare and format documents such as meeting agendas and presentations.
  • Accurately record, prepare, and distribute meeting minutes in a timely manner.
  • Draft, edit, and distribute correspondence, including emails, memos, letters, forms, and reports.
  • Perform data entry and maintain accuracy across various applications.
  • Develop, implement, and maintain efficient physical and electronic filing systems.
  • Maintain and update policies, procedures, and administrative processes.
  • Assist in the preparation of regularly scheduled reports and spreadsheets.
  • Coordinate travel arrangements, including bookings and itineraries.
  • Process expense claims and cheque requisitions in accordance with established financial procedures.
  • Monitor office supplies inventory levels and order as required.
  • Maintain and update contact lists.
  • Serve as a primary point of contact for staff, board members, and external stakeholders.
  • Be familiar with a variety of the field's concepts, practices, and procedures.
  • Participate in training for the Education program as required.
  • Perform other related administrative duties as assigned.
