Job Description

The Customer Service and Operations Support is responsible for various general clerical duties including scanning, filing, answering the phone, and providing dispatch administration support as required. He or she will be tasked with ordering supplies for the terminal, distributing mail, scanning paperwork, entering freight bills, tracing shipments, and greeting customers and drivers in person and on the phone. The Customer Service and Dispatch Support must understand that the company operates in a changing environment, and that he or she must be responsive to change. As a result, new directives may be added or deleted from the list of responsibilities.

Responsibilities (not limited to) :

  • Perform daily office tasks such as filing, recording, maintaining records, copying and posting;
  • Entering required and accurate data into Truckmate;
  • Monitor scheduled arrival and departures for service failures and communicate to all parties involved;
  • Open and distribute mail on a daily basis;
  • Maintain confidentiality in all aspects of the position;
  • Promote and courteously answer all telephone calls and obtain accurate information pertaining to the efficient handling of customer needs or customer business’ as required;
  • Answer phone calls, provide customers with the information they require, or transfer the customer per their request to appropriate staff or as the situation dictates;
  • Dispatch support which includes but is not limited to tracing shipments, entering appointment times and freight bills in TMW, contacting drivers as required, and reviewing customs paperwork;
  • Understand and comply with Health and Safety, Compliance and Homeland Security (PIP / CTPAT) policies, standards, procedures and practices.

Qualifications :

  • Able to communicate clearly and effectively;
  • Knowledge of Truckmate is considered an asset;
  • Ability to handle a fast-paced environment;
  • Industry experience is an asset, but not required;
  • 3 to 5 years of customer service experience.
