JOB PURPOSE:

Reporting to the Director, the Assistant Director (AD) provides leadership and day-to-day management for the Housing Administration team. The AD is responsible for providing a safe and welcoming environment for students living with Student Housing through effective management of the application and occupancy processes using strategies that promote occupancy growth and retention. The AD is responsible for providing effective services to meet the evolving needs of students, staff, and guests by effectively leading the admissions and occupancy team, recruitment and communication, business systems, and off-campus housing. The incumbent leads with a continuous improvement mindset that oversees the admissions of all Trent students living with Student Housing including first-year undergraduates, upper year undergraduates, graduate students, and family housing.

KEY ACTIVITIES:

  • Lead Student Housing’s administrative portfolio in support of the vision of the department and broader portfolio.
  • Oversee the recruitment, admissions, and occupancy management for all student populations, off-campus housing, business systems, and marketing and communications including establishing emergency protocols, related policies and procedures, and associated budgets.
  • Accountable for the development of admissions processes, residence contracts and tenant lease agreements, working directly with legal counsel and the Equity & Human Rights Office. Ensure legal and consultative obligations are met.
  • Forecast short- and long-term Student Housing occupancy. Develop strategies to maximize residence occupancy, by working collaboratively with campus partners such as Recruitment and Admissions and Communications on recruitment efforts. Provide updates and reports to PVP.
  • Responsible for the timeline, scope, and allocated resources for agreements and memorandums of understanding held with campus partners to aid in recruitment and admissions efforts.
  • Develop collaborative working relationships with campus partners including Recruitment and Admissions, Student Accounts, Communications, Information Technology, card office, Human Rights & Equity Office, and Trent International to support the overall success of students staying in Trent Student Housing facilities.
  • Accountable for the services provided by the Housing Administration team, including maintaining business systems security, upholding agreements and contracts with external partners (i.e. StarRez, JIRA) and exploring new opportunities to expand the services offered to students living with Student Housing.
  • Oversees the development and implementation of a comprehensive Student Housing brand strategy and integrated marketing plans to maximize understanding of the value living with Student Housing to optimize occupancy levels.
  • Work collaboratively with the Assistant Director, Housing Facilities and Assistant Directors, Residence Life with supporting housing initiatives and future planning for perspective and in room students.
  • Responsible for hiring, training, and supervision of 6 OPSEU staff and approximately 13 student employees.
  • Ensure a healthy work environment for employees by taking a proactive approach to training, coaching, and supervision, establishing high visibility and approachability, and appropriately addressing concerns as they arise.

EDUCATION REQUIRED:

  • A graduate degree in a related field is required.
  • A specialized certification in a related field (i.e. marketing) from an accredited body is preferred.

EXPERIENCE/QUALIFICATIONS REQUIRED:

  • Five (5) years of professional experience in student housing or recruitment, admissions, or registrars is required.
  • Experience in leading, managing, and coaching employees and navigating human resources policies.
  • Experience with admissions and occupancy and recruitment.
  • Knowledge of best practices and guiding frameworks in student housing including but not limited to: ACUHO-I Standards and ACUHO-I Core Competencies.
  • Demonstrated ability to interpret a variety of university, portfolio, and departmental procedures, policies, and practices in decision making.
  • Ability to organize and manage variety of priorities, projects, and deadlines simultaneously and independently.
  • Excellent judgement with an ability to identify problems, weigh options, and make independent decisions.
  • Demonstrated commitment to and understanding of equity, diversity, inclusion, Indigeneity, and accessibility.
  • An Ontario G Class driver's license with access to a vehicle.
  • A satisfactory Criminal Record Check (“Police Record Check”), dated within the past six (6) months is required as a condition of employment.
