What you'll do
- Perform data entry and general word processing duties, including inputting client information into computerized systems, maintaining registers, assigning file numbers, updating manuals, and preparing reports, charts, tables, letters, presentations, and newsletters from rough drafts or instructions, using software such as word processing, spreadsheets, graphics, and databases. Prepare and distribute meeting minutes and other documents as requested.
- Gather and compile information, such as client statistics. Manage records by setting up and maintaining filing systems, indexing files, conducting searches, and replying to routine correspondence.
- Operate a multi-line switchboard, perform reception duties, direct calls, relay messages, and receive visitors. Refer issues to appropriate personnel.
- Address general inquiries via phone and in person from clients, doctors, staff, and the public, providing information about programs and policies. Refer complex issues to relevant staff.
- Manage incoming and outgoing mail, faxes, internal correspondence, and courier documents. Sign for packages and shipments.
- Assist with client intake, including obtaining information, completing admission documentation, liaising with sources, and summarizing information for healthcare providers. Schedule and confirm appointments, send reminders, and manage clinic flow.
- Handle financial transactions, including receiving payments and issuing receipts.
- Operate office equipment, perform minor maintenance, and escalate issues as needed.
- Place purchase orders, receive supplies, verify invoices, and coordinate with suppliers.
- Prepare and package medical and non-medical supplies for shipping, including labeling and contacting couriers.
- Participate in program planning, research, quality and safety initiatives, and accreditation activities within Clinical Prevention Services, contributing to research activities and reviewing results.
- Perform other related duties as assigned.
What you bring
Qualifications
- Post-secondary education in a recognized business or secretarial program, with courses in medical/scientific terminology, or equivalent experience.
- Three years of administrative experience in a medical or scientific setting.
- Knowledge of Indigenous-specific mandates, anti-racism, and cultural safety principles, with a commitment to addressing systemic racism and discrimination.
- Understanding of legislative obligations and provincial commitments related to Indigenous rights and anti-racism initiatives.
Core Competencies
- Understanding of Indigenous-specific racism and systemic barriers, with initiatives to promote safety and belonging.
- Awareness of the impacts of settler colonialism on Indigenous Peoples and familiarity with relevant policies and documents.
Skills & Knowledge
- Familiarity with medical, scientific, research, or IT terminology.
- Proficiency in computer software: word processing, presentations, spreadsheets, databases, email.
- Problem-solving, customer service, judgment, organization, interpersonal skills.
- Typing speed of 50 WPM.
- Effective communication skills in English.
- Accuracy, attention to detail, ability to error check independently.
- Ability to prioritize and meet deadlines.
- Physical ability to perform duties.
- Commitment to learning about Indigenous issues, anti-racism, and systemic change, and sharing knowledge with peers.
