We are seeking a highly organized team player who is comfortable multitasking and working in a fast-paced environment. The successful candidate for this role is a self-starter, willing to take on new projects, and displays high attention to detail. It is crucial to the role that this person is punctual, a confident communicator, and flexible.

Please note this is an in office position, therefore attendance in the Ottawa Collaboration hub is a requirement.

What You'll Do

  • Stocks and distributes snack carts daily; maintains kitchens with adequate supplies and ensures cleanliness; maintains snack inventory and assists in placing and receiving quarterly snack orders; sets up new employee cubicles / offices.
  • Manages security access system and Master Badge spreadsheet; maintains supplies and equipment.
  • Manages Key Matrix (lock box, key spreadsheet, notes regularly locked offices).
  • Walks the floors daily to look for any maintenance issues as well as office supply needs for conference rooms.
  • Maintains all copy center supplies and unloads paper as needed.
  • Submits service requests to property management company.
  • Oversees and coordinates HVAC scheduling with property management.
  • Oversees and responds to Facilities Helpdesk tickets.
  • Reviews and handles inquiries in the Corporate Services inbox.
  • Assists in setting up company meetings.
  • Accepts incoming packages and sends notices to employees.
  • Assists in coordinating and planning officewide furniture moves.
  • Assists with company catering.
  • Acts as a backup to the Travel department.
  • Assists as a backup receptionist.
  • Answers and directs incoming calls to appropriate queue or employee.
  • Greets incoming visitors / vendors and ensures they have an escort or clearance to access the office.
  • Manages and coordinates with Facilities vendors.
  • Enters and tracks approval for Facilities purchase orders through internal system (Coupa).
  • Contributes to team effort by assisting with special projects as needed.

What You'll Bring

  • Experience with Microsoft Office Suite (specifically Outlook and Excel)
  • 1-2 years’ experience working in a corporate office setting working in a team environment
  • High school diploma or greater
  • Previous reception or property management experience
