Assistant Business Services Administrator

Your role

As part of our dynamic team, you will ensure excellence in business services delivery, supporting a productive work environment for internal and external clients. You will implement tasks assigned by the Team Lead or Senior Business Services Administrator, managing office operations, HR, and health and safety matters. You will develop your skills by managing multiple locations and varying business service complexities, appropriate to your experience.

Requirements

  • Bilingual in French and English
  • 1-3 years of administrative experience or as an Administrative Assistant
  • Post-secondary diploma or degree in business administration or commerce (asset)
  • Excellent communication and organizational skills
  • Proficient in Microsoft Office applications
  • Ability to prioritize in a busy environment
  • Strong interpersonal skills and initiative
  • Attention to detail, responsibility, and accountability
  • Self-motivated with a proactive approach
  • Ability to meet deadlines

Responsibilities

  • Support onboarding / offboarding, including IT equipment coordination
  • Reconcile travel charges and corporate credit cards
  • Review and approve expense reports
  • Assist with documents and presentations
  • Manage document retention and filing
  • Organize meetings / events, negotiate contracts, liaise with vendors
  • Manage trade show inventory and participate in social committees
  • Plan staff events within budgets and organize team-building activities
  • Support Montreal and Quebec City offices, ensuring facilities are maintained
  • Act as first point of contact for emergencies and maintenance issues
  • Coordinate health and safety training and participate in safety committees

Working conditions

Standard hours are 8 : 00 a.m. to 5 : 00 p.m., Monday to Friday, with possible additional hours based on office needs. Good judgment, tact, and diplomacy are essential.
