WellFort is seeking to hire Full Time Permanent- Senior Director, Operations!

PURPOSE

The Senior Director of Operations is a critical role and member of the Senior Leadership team to support the Vision and Mission of the Centre while ensuring peak performance and accountability across the organization.

Reporting directly to the Chief Executive Officer (CEO), the Senior Director of Operations oversees essential corporate functions. This influential role involves strategic oversight of Facilities, Procurement, IT, Digital Health, Decision Support, Performance Monitoring and Reporting and leads our evolution toward becoming data driven organization. The Senior Director of Operations is a key member of the senior leadership team and will collaborate with internal and external stakeholders to advance strategic priorities and achieve operational excellence. Responsible for measuring and reporting on performance and deliverables across WellFort's programs, the Senior Director provides operational leadership, manages risk, develops policies, and implements strategic plans. The Senior Director will foster a supportive work environment and directly supervise corporate services staff, including occupational health & safety, procurement, payroll, information technology, data management and decision support, ensuring effective leadership and administration

RESPONSIBILITIES

Program Managementand Leadership

  • Review and monitor Accountability Agreements; ensure submission of timely reporting to funders.
  • Monitor expenditures to align with approved budgets and financial policies.
  • Collaborate with Finance to manage organizational assets including safe control and access.
  • Ensure compliance with government regulations for non-profit status.
  • Oversee Centre’s procurement policies and procedures.
  • Act as liaison with auditors, lawyers, landlords, and contractors.
  • Oversee any required project management requirements for new or existing projects
  • Establish department and organizational objectives and operating plans in alignment with organizational strategy and goals.
  • Participates in the WellFort leadership team to develop strategic directions, review programs and services, and develop policies and procedures for effective human resource and financial management

Facilities and Procurement

  • Prepare and negotiate leases, insurance, and contracts; maintain agreements in compliance with records policies.
  • Liaise with building managers/owners; ensure site safety and cleanliness.
  • Provide oversight for property security and asset management.
  • Review and manage third-party contractors for site services (e.g., cleaning, security).
  • Lead capital planning, leasehold improvements, and renovations as needed.
  • Ensure oversight of safety and operations across all WellFort service delivery sites and collaborating with all space related stakeholders, vendors and funders.
  • Oversee the maintenance of internal controls and inventory systems including asset registry and space planning.
  • Ensure that organizational procurement complies with internal policies and legislative or funder requirements.

Information Technology and Data Management

  • Plan, coordinate, and oversee IT system design, implementation, and maintenance.
  • Plan for future technology needs to enhance organizational operations and integrated approaches across the system and with other partners.
  • Ensure security and integrity of IT and data systems with best practice policy and privacy measures.
  • Collect, analyze, and report clinical, administrative, and operational data to support continuous improvement.
  • Oversee Information Management system; coordinate with Finance for accurate reporting.
  • Manage data and analytics functions through Quality and Decision Support team.
  • Develop and implement a digital strategy for WellFort that aligns with provincial and regional priorities.

Leadership

  • Ensure adherence to policies, procedures, and contractual obligations.
  • Support and develop direct reports; manage staff performance and separations.
  • Facilitate team initiatives and inter-professional collaboration.
  • Support the development of a comprehensive Risk Management function across all WellFort programs

Other duties as assigned per organizational needs.

QUALIFICATIONS, EXPERIENCE & SKILLS

  • Master's degree in finance, accounting, business administration, health administration, or relevant field.
  • 10 years of progressive management experience in complex non-profit or healthcare organizations.
  • Demonstrated leadership in performance management, government funding, and accountability monitoring.
  • Experienced leader in information technology, digital systems and platforms related to community primary care
  • Experience with procurement and contract management preferred.
  • Strong knowledge of relevant legislation and practices.
  • Proven ability to provide effective leadership in an interprofessional cross functional team environment.
  • Expertise in planning, evaluation, and quality monitoring systems.
  • Exceptional written and oral communication skills across diverse audiences.
  • Experience managing confidential and time-sensitive information.
  • Familiarity with Change Management practices.
  • Proficiency in financial management, budgeting, and compliance within multi-funded environments.
  • Ability to work independently and collaboratively in interprofessional teams.
  • Strong business management skills including strategic planning, resource allocation, and analytics.
  • Effective relationship-building skills with funders, staff, and stakeholders.
  • Demonstrated leadership in fostering innovation and achieving organizational goals.
