Job Description
About the Role:
Provide comprehensive administrative support to the Service Centre, ensuring efficient management of administrative functions in compliance with statutory and company requirements.
Coordinate the production and reporting of reliable financial, HR, and administrative information to support the smooth operation of the Service Centre.
Key Responsibilities may include:
- Manage HR administrative tasks, including the new hire onboarding process, submitting employment paperwork, coordinating benefits enrolment, and preparing for onsite interviews.
- Support the timekeeping and payroll process by resolving timecard discrepancies with management and submitting timecards for processing as required.
- Perform general clerical duties such as employee file maintenance, data entry, mail sorting, and handling email and phone correspondence to ensure smooth daily operations.
- Oversee the purchasing function by managing data entry, filing, receipting, and reconciling purchases to actual deliveries, ensuring accurate tracking of inventory and supplies.
- Complete daily, weekly, and monthly data entry and reporting requirements for warehouse operations, ensuring timely and accurate reporting.
- Provide administrative support for shipping and receiving coordination, ensuring efficient processing and handling of goods and supplies.
- Assist with various ad hoc duties, including supporting visitors, organizing training on operational procedures, and performing additional administrative tasks as needed.
- Ensure compliance with corporate policies and legal requirements in all administrative activities, contributing to the Service Centre's overall efficiency.
Position Purpose:
- Through effective management of inventories, consumables and production staff, coordinate logistics using SAP and interaction with process owners to ensure a timely flow of product and data integrity.
Major/Key Accountabilities:
- Ensure plant operates within the SHE & risk guidelines.
- Manage and validate data capture into SAP.
- Reconcile internal and external movements, ensure system stock accuracy and apply the DMAIC model as necessary to improve processes in support of variance elimination.
- Contribute to the reporting process to support analysis affecting KPI’s.
- Control consumable goods for the plant.
- Validate payroll.
- Forecast and coordinate all intermodal transportation.
- Liaise between Plant, Logistics, D’s, E’s and transporters.
Qualifications:
- Post Secondary and/or relevant work experience.
- Good analytical skills.
- Good communication skills.
Experience:
- Worked in a process driven situation where success depends on adherence to deadlines.
- Purchasing experience.
- Inventory planning/control and logistics experience.
- Previous management reporting experience.
- Safety Experience.
Skills and Knowledge:
- Good working knowledge of MS office (particularly Excel).
- Self motivated and works well under pressure.
- The ability to maintain a high level of accuracy with a high volume of output.
