The salary range for this position is CAD $28.31 per hour.

Detailed Overview

Reporting to the Manager, this position performs various clerical duties related to the operation of the MHSU Wellness Centre (MHSUWC) and Mental Health Outpatient Services, including the Psychiatric Urgent Response Clinic (PURC), Psychiatric Referral Service, Neurostimulation Clinic/Regional Electroconvulsive Therapy (ECT) Program, Substance Use Liaison Service, Consult Liaison Service, and Rapid Access Psychiatry Clinic.

The duties include reception, scheduling, maintaining client data, transcribing physician orders, and supporting communication across programs. As the first point of contact, the incumbent ensures a safe and welcoming environment through a positive, customer-service approach. The role involves working within an interdisciplinary team and supporting clients and their families in navigating the healthcare system.

Responsibilities
  • Serve as a communication link for MHSUWC by liaising with hospitals, social service organizations, and physician offices, and providing reception services.
  • Schedule and coordinate outpatient client appointments, including follow-ups and adjustments, and liaise with physicians regarding appointments.
  • Process and transcribe physicians' orders, schedule ECT sessions, and follow up on interdisciplinary team orders.
  • Manage order entry and referrals using appropriate systems.
  • Prepare correspondence, reports, and resource packages, and support data entry and record maintenance.
  • Maintain patient charts and input data into electronic health records, attaching relevant documents.
  • Arrange meetings and room bookings as directed.
  • Handle mail, faxes, and courier documents, ensuring proper distribution and handling.
  • Escort and assist patients/clients, providing a welcoming environment.
  • Maintain office supplies and equipment, and perform minor equipment maintenance.
  • Perform other related duties as assigned.
Qualifications
Education and Experience

Grade 12, medical terminology, graduation from a recognized Nursing Unit Clerk program, and at least one year of recent related experience in a mental health and substance use setting, or an equivalent combination of education, training, and experience.

Skills and Abilities
  • Keyboarding speed of 40 wpm.
  • Effective verbal and written communication skills in English.
  • Ability to work effectively with others.
  • Strong organizational skills.
  • Proficiency with office equipment and computer software applications.
  • Physical ability to perform the duties of the position.
