Visitor and Facilities Stewards (Casual - term positions)

Alberta Innovates is seeking customer service orientated individuals on a casual basis to support our front desk operations at our facilities located in Calgary. The Visitor and Facilities Stewards are directors of first impression as they are often the first people visitors meet when they arrive or call our organization. Stewards have an excellent understanding of the facilities where they work, get to meet a lot of people, and are the first point of contact so are well-known by people inside and outside the organization.

With a collaborative spirit and an unwavering dedication to excellence, the Visitors and Facilities Stewards role expands beyond traditional reception functions. The team embraces an enhanced service delivery model with new core functions that include Brand Ambassador, Property Management Liaison, Visitor Management leaders, and Health and Safety (HSE) representative. The Stewards continue to demonstrate their commitment to providing exceptional support across all facets of Alberta Innovates and InnoTech Alberta.

We are looking to fill two positions at our Calgary location within the Calgary Research Park: one for a term until end of November 2025 (with possibility of extension) and one for a 12-month term (with possibility of future annual extensions).

The successful incumbent will be expected to perform, but not limited to:

  • Planned and unplanned full-time and part-time shift coverage during weekday and business hours of 8am-4:30pm
  • Greeting visitors and contacting the appropriate individual to escort them in our facility
  • Handling a multi-line switchboard, and maintaining front desk information binders and training materials
  • Taking and relaying messages, and assisting with conference room bookings
  • Monitoring visitor access on touchless electronic visitor sign in system and maintaining security awareness
  • Ensuring relevant screening questions and Confidentiality Agreement are monitored, and visitor badges are visible
  • Receiving couriers, recording arrivals of packages, and ensuring appropriate carriers are notified of pick-ups
  • Acting as the Area Warden and first point of contact of emergency calls and response
  • Attending monthly safety meetings, conducting site inspections quarterly, and conducting AED and First Aid kits monthly
  • Receiving and actioning requests regarding building issues requiring attention, such as signs, office moves, employee questions, parking issues, lighting, kitchens, bathrooms, basic janitorial concerns, snow removal, sanding, ice concerns, and keys for the offices
  • Managing and signing out corporate vehicles to employees, ensuring sign in is accurate and vehicles are properly equipped
  • Issuing and keeping track of staff parking and monthly staff counts for bill-backs (external partners)
  • Conducting records administration activities including the creation, maintenance, tracking, storage and closing of records
  • Performing general administrative tasks including managing correspondence, distributing mail, office supply inventory maintenance, reporting, and ordering business cards

Qualifications:

  • Certificate or Diploma in administration
  • One or more years of related experience
  • Excellent interpersonal and communication skills
  • Proficiency with the Microsoft Office suite of products
  • Effective collaboration and communication skills
  • Organization, planning, and prioritization skills
