The Department of Physics at a leading university seeks a detail-oriented Administrative Assistant to manage curriculum scheduling and provide support to the student services team. This part-time role requires excellent organizational and communication skills, with responsibilities including logistics for departmental events and managing records. The Department of Physics is seeking a detail-oriented, organized, self-motivated individual to manage departmental curriculum scheduling and to provide administrative support to the student services team and the department office, in general.
Primary responsibilities include collecting, organizing, and entering curricular information. Incumbent will also manage room scheduling, enrollments, waitlists, and course evaluations. This position will be responsible for handling the logistics for some departmental events such as the spring prospective graduate student visits and will provide backup for purchasing and travel, as needed.
This position interacts regularly with faculty, staff, trainees, and both graduate and undergraduate students.
Successful candidates will have outstanding organizational and interpersonal skills, attention to detail, excellent communication skills, flexibility, and the ability to prioritize tasks. The work is done independently and with attention to FERPA and HIPAA protected information.

Required Qualifications
- Demonstrated attention to detail and organization
- Demonstration of meeting deadlines for time-sensitive tasks
- Demonstration of excellent customer service skills
- Proficiency in Microsoft Office and Google Suite
- Strong oral and written communication skills
Preferred Qualifications
- Minimum of two years of professional working experience.
- Experience working with general curricular elements and structures
- Experience collaborating with university partners
- Experience with campus systems such as SIS and 25Live a bonus
- Demonstration of creativity in problem solving
- Demonstration of taking initiative to suggest process improvements
20 hours a week, Monday through Friday with some flexibility for daily arrival and departure times.
Part Time: 50%
It is anticipated this position requires work be performed in-person, onsite, at a designated campus work location.

The typical starting wage for this position is $21.63 - $30.62 per hour. Employees in this position can expect to receive benefits such as generous vacation, holidays and paid time off; competitive insurance and saving accounts; and retirement benefits.
University sponsorship is not available for this position, including transfers of sponsorship.
