Job Description
Position Overview:

The Unit Clerk is a vital team member impacting the effective operation of patient services on inpatient units and outpatient clinics at SHN.

Position Summary

Working independently and as part of the clerical and interdisciplinary care team, reporting to the Manager, the Unit Clerk provides clerical support, communication, and coordination to facilitate integrated patient care across emergency departments, inpatient units, and outpatient clinics. The role emphasizes patient services and fostering a personalized healthcare environment.

Responsibilities
  • Handle incoming patient and clinician calls courteously, pre-screen, redirect, or relay messages.
  • Greet patients and families, answering questions about services, parking, etc.
  • Replenish and restock PPEs.
  • Monitor inventory and requisition supplies, linen, and equipment.
  • Organize patient transport schedules and notify relevant teams.
  • Update Estimated Date of Discharge on Epic Unit Manager.
  • Complete biweekly payroll processes.
  • Assist with staffing and scheduling, produce schedules, and make staffing requests.
  • Fax documents like prescriptions and discharge summaries.
  • Verify patient demographics and insurance information.
  • Maintain patient charts and arrange virtual rounds and meetings.
  • Create downtime packages for Epic system updates.
  • Ensure BCA bins are stocked for Epic downtime.
  • Index documentation into EMR within the required timeframe.
  • Support unit audits and data tracking for reporting and funding.
  • Assist in improving patient safety and keep staff informed of patient needs.
  • Support patient discharge planning and manage unit access controls.
  • Coordinate with Environmental Services for room cleaning post-discharge.
  • Facilitate inter-unit and inter-site patient transfers and screening for entrance eligibility.
  • Use of overhead intercom for locating staff and communication.
Other Duties
  • Train and orient new staff.
  • Provide cross-coverage and handle emergency situations calmly.
  • Participate in accreditation and other corporate initiatives.
  • Perform other duties as assigned.
Requirements
  • Medical terminology certificate required or to be completed within 3 months of hire.
  • Graduate of Medical Office Administration or equivalent experience.
  • Strong knowledge of medical terminology within 3 months of hire.
  • Keyboarding skills: minimum 35 wpm, 80% accuracy.
  • Experience with Clinical Information Systems, MS Word, and Medical Terminology.
  • Excellent customer service, organizational, communication, and problem-solving skills.
  • Ability to work under stress, prioritize tasks, and work well with diverse teams.
  • Commitment to ongoing learning and adherence to SHN’s values and safety policies.
Asset
  • One year hospital registration experience.
  • Experience with Electronic Medical Records, EPIC, SAP.
  • Second language proficiency.
