Job description

Our Client, a Vacation Rentals company, is looking for a Senior EX Operations Specialist for their Montreal, QC location.

Responsibilities:
  1. Provide global operational support to employees and our employee experience teams, managing complex employee queries through Jira and Workday.
  2. Address complex Jira tickets, including benefit enrollments, parental leave requests, and time-off inquiries.
  3. Handle employment verifications, including customized Verification of Employment (VOE) letters.
  4. Conduct audits and analyze data to identify patterns and inaccuracies.
  5. Optimize Shared Service Center (SSC) processes for efficiency and scalability, ensuring alignment with company policies.
  6. Implement new policies and process improvements in collaboration with Benefits, Payroll, Legal, and other teams, ensuring effective change management.
  7. Document and improve Standard Operating Procedures (SOPs) and implement automation to enhance operational efficiency.
  8. Assist in the transition of tasks from Centers of Excellence (COEs) to the Shared Service Center (SSC) by collecting requirements and offering recommendations.
  9. Prepare and process EIBs in Workday, along with managing involuntary terminations and One-Time Payments (OTPs) related to terminations.
  10. Support hiring, onboarding, benefits, payroll, and time-off processes to ensure compliance with Canadian legal requirements.
  11. Administer benefits, including new hire presentations, enrollments, and management of Short-Term and Long-Term Disability forms.
  12. Conduct new hire onboarding sessions and assist employees with benefits-related questions and updates on qualifying life events.
  13. Update employee leaves and schedules in Workday.
  14. Manage compliance data reporting and respond to local labor board requests in both English and French.
  15. Conduct background checks and assist with loading results into Workday HRIS.
  16. Collaborate on Canada-specific policies and maintain relevant documents in Confluence.
  17. Manage accommodation requests and support drafting reports for Talent or Managers.
Requirements:
  1. At least 3-5 years of relevant experience in HR or People Operations.
  2. Experience with using data systems and ticketing tools such as Jira; experience using the Workday HRIS system is required.
  3. Experience with Excel or Google Sheets in a professional environment.
  4. Fluency in French is highly preferred.
  5. Demonstrated ability to work with global or remote teams.
  6. Strong operational thinker, with a knack for solving problems and building solutions.
  7. A team player with the ability to work collaboratively across all levels of the organization.
  8. The ability to drive projects from inception to implementation, including developing project plans and timelines, and coordinating internal and external resources to meet project requirements.
  9. The ability to leverage data to help drive informed decision making.
  10. High level of business acumen; understanding the business on a deep level and the interdependencies of various teams and processes.
  11. Proactive and curious by nature. Creative and enjoys taking unique approaches to solving problems.
  12. Ability to navigate confidential information with professional maturity.
  13. Bachelor’s degree in related field plus 6+ years of progressive HR experience in a high-speed, high-growth environment.
