Our client is seeking a high-caliber executive assistant to support the Chief Talent Officer. To be successful in this role the candidate must possess a high degree of professionalism, exceptional organizational and planning skills, the ability to manage multiple priorities, a keen attention to detail, and the ability to build and maintain effective relationships at various levels across the group of companies.

The role will include assisting the Chief Talent Officer and the team with certain administrative initiatives, project coordination, developing agendas, project plans and documents. The Chief Talent Officer and the team meet with and travel between multiple offices and this will require working collaboratively with a wide range of colleagues. This role requires a high level of anticipation, attention to detail and problem solving.

Responsibilities:

  • Provide administrative and project related support, including scheduling meetings and events, managing calendars, responding to general inquiries, and ordering departmental supplies for the Chief Talent Officer and the broader team
  • Leading project coordination, developing agendas and project plans
  • Preparing presentations and reports relating to projects
  • Managing content on behalf of the team, including organizing, storing and coordinating the destruction of content in accordance with retention policies
  • Expense reporting for the Chief Talent Officer and the team members
  • Schedule travel arrangements and remain in contact with team members while away on business in the event of changes
  • Maintain positive working relationships with internal and external business partners including members of various Group Boards of Directors
  • Set up meeting room and welcoming of guests

Qualifications:

  • Bachelor of Commerce or equivalent preferred
  • Experienced corporate professional with a minimum of 5 years’ experience in a comparative role (deadline-driven corporate environment supporting senior leaders, multiple team members and projects)
  • Demonstrates a professional attitude with a high degree of integrity and diplomacy, strong attention to detail, initiative, sound judgment and confidentiality
  • Confidence and maturity to interact with individuals at various levels internally/externally
  • Resourceful and adaptable; ability to thrive in a variety of situations
  • Strong organizational skills to simultaneously manage multiple projects, tasks and requests, coordinate meetings, events, projects and presentations and reports
  • Self-motivated and proactive approach to work
  • Warm, enthusiastic, and approachable
  • Excellent interpersonal skills and communication skills (written and verbal)
  • Strong proficiency with Microsoft Office – Word, PowerPoint, Teams, Excel and Outlook
  • Some flexibility to be available outside of normal work hours or to travel to the other offices within the GTA to provide support on key meetings or urgent matters
