Duties and Responsibilities:
Provide administrative support to the President and the CEO:
- Responsible for calendar management,
- Meeting preparation
- Travel arrangements
- Validate, process and manage invoice payments and expense reporting
Office Administrative Support
- Administer and manage inbound and outbound mail, including packages, courier services and other correspondence.
- Manage new employee and existing employee office equipment (laptops, monitors, etc.) ordering, distribution, and inventory
- Manage office phone system and softphone, including training and troubleshootingemployee technical challenges
- Monitor daily office attendance
- Maintain office equipment and monitor office supply inventory levels; place orders asrequired and arrange for servicing of office equipment.
- Serve as point of contact for building and maintenance staff
- Assist with PowerPoint presentations-formatting, style etc.
- Responsible for travel bookings and conference registrations
- Organize conference and social event coordination
- Research, source and negotiate goods/services for office and management.
- Manage Teams/Zoom meeting and conference room schedule, including clean upbefore/after meetings
- Attend to any catering needs, interact with outside vendors, and assist in the management of the group budget.
Skills Knowledge & Experience
- Advanced proficiency with Outlook, Excel, PowerPoint, and Word
- Ability to manage multiple priorities and consistently meet specific, time-sensitive tasks within a fast-paced and small company environment
- Superior business judgment making decisions pertaining to expenses, travel, and priorities
- Proactive, self-motivated and flexible, with an ability to learn and adapt to new systems as they evolve
- Excellent oral and written communication skills
- Strong attention to detail and ability to work autonomously
- Possess a high degree of skill in disseminating information and maintaining confidentiality.
- Must have excellent organizational, time management and customer service skills in a fast-paced, changing work environment
