The Operations Staff Assistant III acts as support to all departments to effectively service Benjamin Moore's internal and external customers. Main duties include professional demeanor, communications and interpersonal skills to oversee the facility main office area supporting the facility management team as needed. This includes overseeing all office administration, facility time and attendance tracking, partnering with corporate payroll to address pay practices, and supporting recruiting/onboarding activities for new hires.

Responsibilities

Internal Administrative Support:

  • Maintain, support and partner with department managers to enter/track payroll information and submit accurate payroll hours.
  • Provide guidance and answer questions for employees regarding payroll, wellness, and corporate benefits.
  • Work with payroll, benefits, and HR to update employees' PTO and medical leaves, scanning all medical notes as applicable.
  • Monitor and maintain absenteeism information, ensuring accuracy of data and partnering with plant management.
  • Coordinate the temporary workforce, tracking hours and submitting to the temp agency.
  • Administer monthly reports for overtime and temporary labor as requested by facility management.
  • Maintain on-site personal and medical files, ensuring compliance and confidentiality.
  • Assist recruitment and hiring managers with onboarding of all new hires.
  • Assign employee badges/timecards for all employees, temp employees, contractors, and visitors.
  • Support onsite wellness activities and employee benefit activities as needed.
  • Assist Facility Managers and HR with various administrative tasks.
  • Maintain engagement calendar and assist with facility celebrations and employee functions.

General Office Support:

  • Greet all onsite visitors and maintain visitor logs.
  • Perform basic office duties including answering telephone inquiries and managing mail.
  • Process and submit invoices.
  • Prepare reports as needed.
  • Coordinate plant meetings and activities.
  • Ensure efficiency of office equipment and supplies.
  • Participate in Benjamin Moore's Health and Safety programs.
  • Perform other duties as needed.

Qualifications

  • High School degree or GED required; Associate's degree in business preferred.
  • 2+ years administrative experience required, including payroll administration and HR support.
  • Strong computer skills including Microsoft Office.
  • SAP and ADP experience preferred.
  • Strong communication skills, both verbal and written.
  • Solid time management and organizational skills.
  • High level of professionalism and confidentiality.
  • Ability to work in a fast-paced environment and manage multiple assignments.
