What you will do

This position coordinates the flow of documentation from the agent to the office, to the solicitors, and other real estate companies involved in the contract. It requires maximum attention to detail and high organizational skills. This person must give high attention to the details of the contract and the flow of information. eXp Realty is an extremely fast-paced environment, and candidates must be extremely organized and able to manage their time efficiently.

The Transactions Analyst is a self-starter, extremely thorough, has a need to complete tasks, can connect with all personalities, has an accommodating, supportive attitude, finds amicable solutions, doesn't take risks, follows procedures and policies, and is non-confrontational. The analyst must have strong attention to detail, enjoy working with facts, figures, and systems, and work well in front of a computer screen for extended periods. The role requires good verbal skills, active listening, and accuracy in handling company paperwork. The person should be calm under pressure.

Responsibilities include:
  1. Solely responsible for the accuracy of processing deal files from entry to closing, including processing listing contracts when necessary.
  2. Review contracts and documents in Skyslope, perform data entry into BackOffice, calculate commissions, verify MLS data.
  3. Process various transaction types: Residential, Commercial, Leases, Service/Fee Agreements, Referrals, Cancellations.
  4. Request additional documentation from agents as needed, ensure all documentation is in Skyslope before closing, and follow up on missing paperwork.
  5. Generate trade records, ensure deposit information accuracy, and confirm timely deposit of client funds.
  6. Convey instructions and paperwork to solicitors and outside brokerages promptly.
  7. Report issues to the Provincial Transaction Team Lead and follow all procedures outlined.
  8. Maintain professional communication with agents, staff, and external inquiries via email and other channels.
  9. Coordinate with payouts department for fund transfers and commission releases.
  10. Attend training sessions, meetings, and participate in ongoing learning.
  11. Manage workload effectively, prioritize tasks, and collaborate with team members.
  12. Ensure data security and confidentiality, and demonstrate ownership and initiative in tasks.
How you will grab our attention
  • High school diploma or equivalent experience.
  • Legal real estate conveyancing experience preferred.
  • Knowledge of Canadian real estate transaction requirements and provincial processes.
  • Proficiency in Excel, Transaction Desk, Publisher, PowerPoint, LoneWolf is a plus.
  • Responsible, dependable, trustworthy, task-oriented, organized, and detail-focused.
  • Ability to build relationships with agents, lawyers, notaries, and brokers.
  • Ability to work under time constraints in a fast-paced environment.
  • Willingness to adapt and assist as needed, process 35+ deals weekly, and handle up to 200-300 transactions.
  • Excellent communication, critical thinking, problem-solving, and teamwork skills.
  • Experience in real estate industry and remote work environment required.
  • Dedicated home office space and familiarity with online platforms and software.
