Job Details

Company Description: We have been a locally-owned, industry-leading specialty construction/mechanical company since 1979. We are seeking a Project Coordinator with a municipal or mechanical background. You will report directly to the owners, where problems are solved in real-time, and questions are answered promptly. Job Description: We are looking for an experienced and client-focused Project Manager with at least 3+ years of experience in civil mechanical, industrial piping, or pressure vessel infrastructure. Engineering experience is an asset. The ideal candidate must be an excellent communicator, able to remain calm in emergencies, multitask effectively, and work independently. The goal is to facilitate clear communication among different parties by ensuring accurate and timely information exchange.

Responsibilities
  1. Receive emergency and non-emergency calls and emails.
  2. Book jobs in our project management software (SiteMax) and assist with crew coordination.
  3. Price jobs over the phone and using project estimating software (QuickBooks).
  4. Assign inventory to projects and order stock through our PO system (QuickBooks).
  5. Log, maintain, and track client information in our CRM software (HubSpot).
  6. Email clients technical information such as shop drawings, specifications, and videos.
  7. Follow up with clients on job status for previous bids.
  8. Transfer and forward calls/emails to appropriate staff for engineered and non-standard projects.
  9. Address problems and requests by transmitting information or providing solutions.
  10. Prioritize calls based on urgency and importance.
  11. Monitor crew statuses to assist with scheduling.
  12. Provide crews with job-specific information and notify them of changes.
  13. Assist the accounting team with billing.
  14. Support engineering and special projects teams with bids.
Skills and Qualifications
  • 3+ years of project management experience.
  • Municipal/mechanical/plumbing background.
  • Civil or mechanical engineering degree/diploma is beneficial.
  • Technical knowledge of mechanical and civil underground construction.
  • Proficiency in Office365, SiteMax, QuickBooks, HubSpot, and emergency procedures.
  • Excellent communication skills in English (oral and written).
  • Outstanding organizational and multitasking abilities.
  • Customer-focused problem solver.
