The Role

As the Executive Assistant - Office of the CEO, you will play a critical role in supporting the Office of the CEO. Reporting to the Manager, Office of the CEO, you will provide high-level administrative support, handle sensitive and confidential information, manage calendars, coordinate meetings, arrange travel, and act as a liaison between executives and internal/external stakeholders. This role requires exceptional organizational skills, attention to detail, and the ability to thrive in an ambiguous, hypergrowth environment.

Key Responsibilities

  1. Calendar and Communications Management: Proactively manage and prioritize the CEO’s calendar, including scheduling meetings, appointments, and events.
  2. Handle confidential information with discretion and maintain professionalism at all times.
  3. Follow up with stakeholders to ensure deadlines are met and action items are completed.
  4. Provide ad hoc support in a fast-paced environment.
  5. Travel and Logistics: Coordinate domestic and international travel arrangements, including flights, accommodation, and transportation.
  6. Reconcile and process travel expenses according to company policies.
  7. Meeting and Events Coordination and Support: Prepare meeting materials, including agendas, presentations, and reports.
  8. Attend meetings as necessary, take minutes, and distribute action items for follow-up.
  9. Support logistics for organization-wide and cross-functional meetings and events (e.g., All-Team meetings, offsites).
  10. Provide strategic, operational, administrative, and project support across departments such as compliance, social media, and marketing.
  11. Project Management: Assist in managing key projects, ensuring deadlines and deliverables are met.
  12. Coordinate project activities and communications with various departments.
  13. Prepare reports and presentations as needed.

Salary Range

The typical salary range for this position is from $76,000 to $104,000 CAD annually. Compensation may vary based on qualifications, experience, and skills. We also offer:
