About the Role
You will play an integral role on the Highstreet team by overseeing all office operations of the London, Ontario office. You will be responsible for a broad range of administrative support. As Office Manager, you will support our Relationship Managers by building strong and lasting relationships with our clients and measuring client satisfaction. You will also support several operational functions such as the administration of daily client activity and transfers. You are a great team player, and an energetic, motivated, and highly organized administrative professional. This role will be in the office a minimum of 5 days per week.
Your Responsibilities:
Office Operations:
- Oversee daily office operations to ensure a productive and efficient office work environment.
- Manage office supplies and inventory, while coordinating repairs or replacements as needed with vendors.
- Act as a liaison between the London, Ontario office and key partners located in other offices (e.g. IT, Procurement, Facilities, HR, Compliance, etc.)
- Ensure that Highstreet’s client portal is up to date with accurate pooled fund information and performance.
- Build strong relationships with external partners, including Highstreet’s custodian and client relationship provider.
- Foster Highstreet’s client first reputation by responding and directing incoming phone calls in a professional manner.
- Process incoming and outgoing mail and packages.
- Strong candidates will be given increasing responsibility for leading the organization of Highstreet Private Client events and coordination of company sponsorships.
Administrative Support:
- Provide administrative support to Highstreet’s Private Client team which can include welcoming clients to Highstreet’s office, scheduling meetings, organizing travel, and handling expense reports.
- Assist in the client trade process including coordination of client trades and reconciliation to ensure trade compliance and accuracy.
- Assist in client transfer process, including submission and follow-up on transfers throughout the entire transfer process.
- Maintain client and professional lists which require periodic attention throughout the year (e.g., sending tax forms to accountants on behalf of the client).
- Assist with preparing presentations, reports, and other client materials as needed.
- Plan and execute office events, client meetings, and events, as well as team events.
- Assist with onboarding of new employees, providing office orientation, and helping them to get set-up in the office.
- Maintain and update internal compliance documentation/files and databases as required.
Your Skills and Qualifications:
- Post-secondary education with a focus on wealth management, business administration, finance or related field is preferred.
- Minimum 3-5 years of experience in an office management role, preferably in wealth management or financial services.
- Excellent communication skills, including both written and verbal.
- Strong organization, time-management, and attention to detail.
- Knowledge of Client Relationship Management systems including Harmony is a strong asset.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Ability to create and maintain client relationships.
- Excellent interpersonal, judgment, and decision-making skills.
- Self-motivated and the ability to be a great team player.
- Ability to maintain confidentiality and handle sensitive client information.
- Enthusiastic about working in a small team with the ability to adapt to the challenges of the day.
