Position Summary :

We are currently seeking a Service & Dispatch Coordinator to join our dynamic team in Montréal. In this role, you will be the key liaison between our clients, service partners, and field technicians, ensuring prompt and high-quality service delivery. You will manage service requests, coordinate dispatches, and support in-shop service operations while maintaining strong customer relationships.

Key Responsibilities :

  • Respond to customer inquiries by phone and email, providing timely and professional service.
  • Receive and process service orders via phone, email, or quoting system.
  • Coordinate in-shop service requests, including :
  • Prioritizing and organizing work orders
  • Gathering information to order necessary parts
  • Optional) Key cutting and re-keying (training provided)
  • Monitor and manage the in-shop and Montréal inboxes for service requests and technician updates.
  • Source parts from inventory or submit purchase requests to administrators.
  • Schedule customer appointments for service, pickups, and drop-offs.
  • Receive incoming products : verify packing slips, receive in system, and submit appropriately.
  • Ship products and keys to customers as needed.
  • Support inventory control by submitting restocking requests and managing stock levels.
  • Maintain technician toolkits, including Medeco pin kits for road and shop use.
  • Coordinate and confirm service requests with clients.
  • Dispatch technicians and subcontractors for scheduled and emergency service calls.
  • Ensure real-time updates in dispatching systems for efficient service tracking.
  • Schedule and coordinate recurring service calls, inspections, maintenance, and projects.
  • Perform other administrative and operational tasks as required.

Qualifications & Experience :

  • Proven experience in a customer service or dispatch coordination role.
  • High school diploma or equivalent.
  • Strong communication skills (written and verbal) in both English and French (preferred).
  • Exceptional organizational and multitasking abilities.
  • Ability to remain composed under pressure and manage competing priorities.
  • Intermediate proficiency in Microsoft Office and service management systems.
  • Self-directed with a proactive, problem-solving mindset.
  • Ability to work independently while collaborating effectively with team members.
  • Capable of lifting items over 25 kilograms.
  • Willingness to undergo annual criminal background checks.
  • Reliable and punctual with a commitment to high-quality service.
