Office Manager (Temporary)

Part-time (15 hours per week, 3 days per week)

ClearCourse is looking for a part-time Office Manager to join us for around 3 months. As a growing organisation with many moving parts, this is a great opportunity for a focused and organized person to gain exposure and contribute to the team, while staying enthusiastic about the challenges.

Main Duties

The main duties will include, but are not limited to:

  • Check the Paxton system weekly for door anomalies and ensure it records door entries/exits; report issues to the Group Premises Manager.
  • Conduct weekly office equipment checks, ensuring all keyboards, mice, docking stations are in place; report missing items to the Group Premises Manager.
  • Create passes for new starters and deactivate passes for leavers.
  • Create Asda orders for kitchen sundries.
  • Update stock sheets, monitor stock levels, and send the sheet to the Group Premises Manager.
  • Coordinate and conduct monthly audit checks with the cleaning company.
  • Coordinate with maintenance company to ensure checks are being conducted and recorded.
  • Manage Health & Safety within the office, reporting issues to the Group Premises Manager.
    Monthly Responsibilities
    • Create and send attendance reports to the Group Premises Manager.
    • Update maintenance reports and record attendance figures for monthly office updates.
    • Ensure audit check dates, invoices, and costs are entered into the maintenance tracker.
    • Perform Paxton system cleanse to verify staff records.
    Issues and Maintenance
    • Obtain quotes for approval by the Group Premises Manager.
    • Escalate staff issues to the Group Premises Manager as needed.
