POSITION: Chapters and Clubs Coordinator

REPORTS TO: Executive Director

LOCATION: Sault College Students’ Union

TERM: Full Time – 12-month Internship

HOURS: 35 hours a week

SALARY: $22.00/hr.

Scope and Nature:

Sault College Students’ Union is a student-led organization representing all full-time fee-paying students at Sault College. Our mission is to create an exceptional student experience through student-focused programs, services, and advocacy. Our vision is to empower our student community to succeed in a changing world. We strive to do this as an active member of the Sault College community, facilitating opportunities for student leadership and creating strategic partnerships to improve the quality of life on campus.

The Chapters and Clubs Coordinator helps achieve this by ensuring that SCSU delivers quality service and promotes a welcoming and professional environment for all students, faculty, and staff at Sault College. This role will be part of a growing team and will have the unique opportunity of helping us launch new and newly renovated spaces to the Sault College community.

Position Summary:

The Chapters and Clubs Coordinator oversees all operational aspects of Chapters and Clubs at Sault College Students' Union, excluding financial management. The Chapter and Clubs Coordinator ensures smooth functioning and support for all Chapters and Clubs, promoting student engagement and fostering a vibrant campus community.

Key Responsibilities:

1.Chapter and Club Management:

  • Supports the creation, approval, and development of new Chapters and Clubs.
  • Facilitates elections and ensures proper documentation and adherence to policies.
  • Maintains accurate records of Chapter and Club activities, membership, and leadership.

2.Event Coordination:

  • Assists Chapters and Clubs with planning, organizing, and executing events.
  • Reviews Event Permit requests and ensures compliance with SCSU policies; Consults with the Executive Director to have them approved.
  • Coordinates space bookings, advertising, and logistical support for events.

3.Communication and Liaison:

  • Acts as the primary point of contact between Chapters, Clubs, and SCSU.
  • Disseminates information from SCSU to Chapters and Clubs, ensuring timely communication.
  • Provide guidance and resources to Chapters and Clubs on various operational aspects.

4.Training and Support:

  • Organizes and conducts training sessions for Chapters and Clubs executives on governance, event planning, and other relevant topics.
  • Offers ongoing support and mentorship to Chapters and Clubs leaders.

5.Compliance and Governance:

  • Ensures Chapters and Clubs adhere to SCSU bylaws, Policies, and Procedures.
  • Monitors compliance with Sault College Student Code of Conduct and other regulations.
  • Enforces consequences for non-compliance.

6.Resource Management:

  • Facilitates access to SCSU resources such as office space, graphic design services, and advertising platforms.
  • Assists Clubs in the application process of the SCSU Special Events Funds.

7.Promotion and Engagement:

  • Promotes the benefits and opportunities of establishing Chapters and Clubs within the student body.
  • Develops strategies to increase student participation and engagement in Chapters and Clubs.
  • Maintains an active presence on social media and other platforms to advertise Chapters and Clubs' activities.

8.Collaboration:

  • Works closely with SCSU executives, professional staff, and the Board of Directors to support the overall mission of SCSU.
  • Collaborate with the SCSU Finance Manager to ensure financial policies are communicated and understood by Chapters and Clubs.

Qualifications:

  • A diploma in student affairs, education, business administration, or a related field.
  • Experience in student organization management, event planning, or a similar role.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Familiarity with Sault College and its student services is an asset.
