Job Summary:

The Administrative Assistant - Standards Development, under general supervision, performs a variety of specialized administrative and support functions. This includes preparing specialized reports, maintaining records and files related to standards development, coordinating document processes and correspondence, interacting with staff, members, and the public, and performing related duties as assigned. The role requires thorough knowledge of terminology, procedures, and practices in their functional areas, with a significant degree of independence and accountability, supporting the core purpose of Standards Development: developing standards and other documents.

Responsibilities:
  1. Ensure activities comply with the accredited standards development process, internal policies, and guidelines, and verify that all document content is accurate.
  2. Process includes verifying information accuracy, assembling, and posting packages such as Notice of Intent, Public Review, Quality Review, Pre-Approval Edit (PAE), Ballot, Second Level Review, NSC Approval, and Maintenance.
  3. Provide guidance to Project Managers and Program Managers regarding application of processes and procedures; order office supplies, send invoices to Accounts Payable; assist in developing and maintaining the Administrative Assistant Handbook; support PMO with project creation, closures, and reporting; update and maintain information in electronic systems like SAP Workflow and Alfresco.
  4. Prepare for National Standard of Canada (NSC) approval by compiling and processing information packages for submission to the Manager, Standards Policy and Accreditation, for Standards Council of Canada approval; support uploading published standards to SCC.
  5. Coordinate member communication, including contacting members for ballot coordination, meetings, reminders of commitments or deadlines, and distributing standards copies.
  6. Assist with meeting coordination: booking rooms, arranging catering, printing materials, and providing support with conference room equipment.
  7. Coordinate member travel expenses, prepare expense reports, organize receipts, and assist with document and Travel Sheet preparation using DocuSign; file Standards contracts into the Legal filing system.
  8. Maintain and support area-specific websites, including Communities of Interest; assist with posting standards development forms, letters, and documents.
Experience & Education:
  1. Secondary School Diploma and/or College Diploma
  2. 1-3 years of relevant experience
  3. Proficiency in MS Word, Excel, PowerPoint
  4. On-the-job training on internal systems
  5. Verbal and written communication skills
  6. Good interpersonal skills
  7. Strong team player, detail-oriented, with proven problem-solving skills
  8. Proficiency in French is a plus and will be given special consideration
