The Opportunity - Supervisor, Athletics Operations - full-time, permanent

The Supervisor - Athletics Operations is responsible for providing high quality administrative support to the Broncos Athletics Department. The role includes financial management and budget oversight and complex operational supervision including coordinating schedules for Alberta Colleges Athletic Conference (ACAC) and Canadian College Rodeo Association (CCRA) events, and ensuring procurement and travel arrangements support Broncos Athletics goals and are in alignment with College policies and procedures.

Key Job Functions

Financial Management and Budget Oversight:

  • Develop, monitor, and manage the operating budgets for athletics, ensuring financial resources are allocated effectively and spent in alignment with institutional priorities for each individual sport in coordination with Manager, Athletics
  • Provide financial reports for coaches and the manager of athletics on a monthly basis
  • Generate purchase requisitions, purchase orders and submit invoices for payment, issue requests for invoice generation using in-house database programs
  • Work closely with the Manager of Athletics to forecast budgetary needs and manage long-term financial planning for athletic programs.
  • Track expenses, revenues, and other financial metrics, preparing reports and analyses to inform decision-making and identify cost-saving opportunities
  • Oversee procurement processes for equipment, uniforms, travel, and supplies, ensuring timely delivery and quality standards
  • Support Broncos Athletics

Operations Management

  • Supervise the day-to-day operations related to athletic facilities in coordination with the Community Learning Campus and other campus stakeholders, ensuring high standards of service, safety, and quality for all users, including students, staff, and community members
  • In Coordination with the Manager of Athletics, develop, implement, and evaluate athletic policies and procedures to ensure compliance with internal and external regulations
  • Establish and support Broncos Student Athlete Eligibility processes
  • Establish goals and metrics to measure program success, track athlete development, and assess facility usage, reporting regularly to the Manager of Athletics

Facility Management

  • Oversee and coordinate facility management, including scheduling, maintenance, and upkeep of athletic facilities, ensuring they are clean, safe, and properly equipped for daily use and special events with our Campus partners
  • Collaborate with the Facilities Management team to ensure that all equipment and infrastructure meet health and safety standards, and address any issues that arise in a timely manner
  • Implement risk management strategies to ensure the safe operation of athletic facilities and compliance with safety regulations
  • Conduct regular assessments of facility use to ensure that spaces are optimized for both College and community programming
  • Collaborate with Olds College Farm Operations for Rodeo and facility usage

Athletic Program Coordination

  • Coordinate athletic events, including ACAC and CCRA Rodeo competitions, ensuring schedules, rosters, and logistics are accurately managed and communicated
  • Facilitate communication between coaching staff, student-athletes, and academic departments to ensure student-athletes are supported in balancing their academic and athletic responsibilities
  • Coordinate travel arrangements, accommodations, and meals for teams attending off-campus competitions and events

Staff Leadership And Development

  • Provides day-to-day supervision for the Game Day/Events Coordinator and Game Day staff
  • Provides supervision through feedback, advising, coaching and team building (including professional development opportunities)
  • Conducts performance reviews in accordance with standard practices
  • Establishes regular check-ins with the team and individuals
  • Initiates and manages disciplinary processes, if necessary, within scope of authority and in consultation with People and Culture and in compliance with College policies and standard practices
  • Champions and foster a positive and inclusive work culture, promoting teamwork, collaboration and open communication within the team
  • Sets clear goals and objectives aligned with the organization's strategy and ensures effective execution and achievement of targets

Collaboration And Event Support

  • Oversees Game Day and Events staff to provide seamless coordination and technical support for events such as Sanctioned League Events, Olds College Broncos Camps, Jr Club Sports, and other activities as planned
  • Assist in the planning, promotion, and execution of community engagement events, open houses, and athletic showcases, enhancing visibility and participation in Olds College athletics
  • Support student recruitment initiatives through athletic programming, working with the Recruitment and Admissions teams to highlight athletics as a key aspect of the Olds College experience

Education/Experience/Skills/Knowledge Required

  • Bachelor’s degree in Sports Management, Physical Education, or related field; or an equivalent combination of education and experience
  • 3-5 years of experience in athletics management, with a proven track record in facility operations, budget management, and staff supervision or a combination of education and experience
  • Demonstrated leadership and interpersonal skills, with the ability to inspire and motivate both staff and student-athletes
  • Experience coordinating ACAC and CCRA Rodeo events or similar athletic competitions
  • Demonstrated expertise in budgeting, financial oversight, and resource management
  • Excellent organizational, time management, and problem-solving abilities
  • Proficiency in facility management software and athletic scheduling tools
  • Knowledge of best practices in health, wellness, and safety standards for athletic facilities
  • Excellent interpersonal and relationship-building skills
  • Ability to adapt quickly in a fast-paced environment with changing priorities
  • Demonstrated ability to create a positive experience for employees, athletes, coaches, and patrons during athletic events
  • Demonstrate a strong dedication to promoting inclusivity and diversity by actively seeking out and valuing diverse perspectives, fostering a welcoming and supportive environment for individuals of all backgrounds, and continuously striving to create a culture of respect and understanding

  • Work outside of regular College operating hours will be required.
