We are seeking a Client Account Clerk to join our Coughlin team in Ottawa.
The Client Account Clerk provides administrative services to the Single- and Multi- Employer Plans and does so in such a way as to enable the smooth operation and administration of the plans. This includes answering telephone inquiries and corresponding with the employers and members of various plans on such matters as coverage, enrolments, terminations, beneficiaries, etc.
The Client Account Clerk is also responsible for the preparation of premium reports, data entry, reconciliations, customer service, filing, and verification of billings and remittances.
The Client Account Clerk will :
- Adding, changing, and deleting coverage in database systems.
- Preparing / verifying / printing reports, correspondence, and cards as required.
- Verifying the accuracy of premiums, applications, enrolments, cards, and invoices received.
- Balancing monthly premium and remittance reports, and reconciling monthly trust fund bank accounts.
- Remitting payments to insurance companies.
- Preparing bills / invoices for monies owed.
- Posting monthly journal entries.
- Calculating premium rates for various benefits and processing rate changes.
- Coordinating monthly premium billing so that all invoices will be received by clients .
- Preparing deposits, reports and remitting all monies owing to the Treasurer of Ontario for retail sales tax and Quebec Sales Tax (where applicable), and to Canada Revenue Agency.
- Remitting premium tax owing to the Finance Department each month.
- Preparing all necessary banking documents.
- Preparing tax remittance cheques and cheque requisitions for clients who have no trust funds.
- Clarifying information in insurance contracts and booklets.
- Consulting procedural summaries or operating manuals to determine the best course of action.
To be successful as a Client Account Clerk with Coughlin & Associates, you will need :
- Sound knowledge of Microsoft Office and standard office administration procedures.
- Excellent grammatical, spelling, and communication skills in both official languages.
- Superior data entry skills and strong mathematical and reconciliation skills.
- The demonstrated ability to learn and master new software and technology.
- The ability to maintain good public relations, both within and outside the organization.
- Strong organizational skills, the ability to prioritize and multi-task, and the ability to manage time effectively.
- The ability to adhere to existing company policies and procedures.
- The ability to use tact and discretion to maintain information in the strictest of confidence.

- Experience using accounting software.
