Job description

Job Responsibilities:

  • Serve as the primary receptionist, greeting visitors and managing incoming calls.
  • Maintain an organized and efficient office environment by managing office supplies, equipment, and facilities.
  • Facilitate travel arrangements for technicians, ensuring timely bookings and itineraries.
  • Coordinate with external IT department to address technical issues and support the organization's technology infrastructure.
  • Manage shipping coordination and paperwork for local, national, and international shipments.
  • Responsible for maintaining Accounts Payable records, including accurate and timely processing of invoices and payments.
  • Create and issue purchase orders and invoices for Accounts Receivable, ensuring accuracy and compliance with company policies.
  • Generate Purchase Orders and match invoices to Purchase Orders, verifying the correctness of pricing, quantities, and terms.
  • Review and allocate employee timesheets to specific projects, ensuring accurate tracking of labor costs.
  • Perform bank and credit card reconciliations to maintain financial accuracy and compliance.
  • Other duties as assigned.

Required Experience and Qualifications:

  • Diploma in Business Administration or Accounting is preferred, with a minimum of 1 year experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and handle multiple tasks efficiently.

Additional Information:

Travel: 0-5%

Compensation: $24 - $30 per hour

Physical Demands: Lifting a maximum of 50lbs, occasionally. Position is a desk position. Long periods of computer and/or phone work is required.
