Job Description

The purpose of this position is to manage multiple functions of building operations, maintenance, and safety. Responsibilities include ensuring all buildings are Code Compliant, meeting all legal requirements and Health and Safety standards. The position will manage all facility vendor relations and oversee policy compliance for safety, security, and sanitation standards throughout warehouse operations. It also involves identifying areas of non-compliance risk, developing policies with operations staff to mitigate these risks, and planning communication and training programs to ensure employee understanding of compliance roles. Additionally, the role provides assistance to the VP of Operations as required.

POSITION ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

ESSENTIAL FUNCTIONS

Facilities:

  • Serve as the single point of contact for all building customers and liaise with service providers.
  • Ensure facilities and infrastructure are safe and code-compliant.
  • Manage preventative maintenance, repairs, and ensure efficient operation of mechanical, electrical, HVAC, and plumbing systems. Track and record all projects and updates in the CMMS.
  • Conduct regular inspections of fire systems, including extinguishers, pumps, signage, and ensure readiness for emergency responses.
  • Manage operations during inclement weather conditions.
  • Oversee Integrated Pest Management, analyze inspection data trends, and communicate findings to management.
  • Schedule and support daily projects aligned with management needs.
  • Train maintenance teams and contractors on facility requirements.
  • Manage budgets for expenses, providing monthly updates and projections.
  • Develop and administer maintenance, construction, or service contracts, including RFPs, bid evaluations, and contract awards.
  • Coordinate contractor activities, review contracts, inspect projects, and approve invoices.
  • Handle procurement of building materials, tools, and fuel.

Safety:

  • Develop and update policies and procedures for the Compliance Program to prevent misconduct.
  • Manage customer audits, inspections, and compliance reports to agencies such as OSHA, FDA, etc.
  • Investigate violations, develop reporting systems, and ensure proper enforcement and documentation.
  • Review and evaluate compliance issues, providing reports to senior management.
  • Collaborate with HR to develop compliance training programs for all employees.
  • Regularly review and update Standards of Conduct for relevance and guidance.
  • Stay informed of industry standards to ensure operational excellence.

EDUCATION AND/OR EXPERIENCE

  • Bachelor's degree required.
  • Minimum 4 years of experience in warehousing, demonstrating leadership and familiarity with operational and quality assurance procedures.
  • Knowledge of relevant laws and regulations in logistics.
  • OSHA certification required.
  • Background in warehouse operations and food safety.
  • Flexible working hours as per company needs.

KNOWLEDGE, SKILLS, AND ABILITIES

Physical demands include lifting 5-50 lbs, fine manipulation, communication skills, ability to walk and stand for extended periods, and comfort working at heights using lifts.
