The University of Wisconsin-Madison is seeking a Conference Coordinator to manage multiple academic and professional conferences. This role involves planning logistics, coordinating with vendors, and ensuring compliance with institutional policies. Ideal candidates are detail-oriented and thrive in fast-paced environments.
The Conference Management Team within UW Conferences & Events is looking for a highly detail-oriented and self-motivated professional to join our team as a Conference Coordinator. Conference Coordinators are responsible for helping to plan and manage multiple academic and professional conferences throughout the year both on and off campus. This position will work closely with campus departments and conference organizers to successfully plan and implement events. Responsibilities also include:
* Creating conference registrations and websites
* Working with various software programs to detail event needs and create room diagrams
* Developing food and beverage service
* Determining audio visual needs
* Overseeing all aspects of planning for a single or multiday conference
A successful candidate in this role will be extremely organized and enjoy working at a fast pace while managing the logistics of multiple conferences simultaneously.

Bachelor's Degree
* Minimum of 1 year of event planning and/or event management experience.
* Experience using computerized scheduling and registration software systems.
* Experience working directly with customers to plan conferences and/or events. Please include the number of events you assisted in planning per year.
The primary hours will be Monday - Friday 8:30 - 4:30, with an occasional night or weekend depending on conference/program schedule.
Full Time: 100%
It is anticipated this position requires work be performed in-person, onsite, at a designated campus work location.
Terminal, 24 month appointment.
This position has the possibility to be extended or converted to an ongoing appointment based on need and/or funding
Minimum $23.50 HOURLY

The Wisconsin Union operates from several buildings on the UW-Madison campus including Memorial Union, Union South, Fluno Center, Pyle Center, University Club, Red Gym, and the Student Activity Center. The Wisconsin Union is a financially self-supporting division of the University of Wisconsin-Madison. Financial support for the organization is provided by income earned by over thirty food service units and a variety of nonfood units such as games, guest rooms, space rentals and campus vending. Substantial support is also provided by student fees. The total annual organizational budget is approximately $60 million dollars.
