Job description

As a Hearing Care Coordinator, your primary responsibility is to provide extraordinary concierge level service to our customers. In this position, you will be the “face” of the practice and the crucial liaison between our customers and the Hearing Care Professionals. You will contribute to the business success of Beltone through effective customer service, interpersonal communication, efficient time management, accurate cash management reporting, and achieving sales and marketing goals.

Job Duties and Responsibilities :

  1. Greet customers upon entry
  2. Answer and make phone calls for various purposes
  3. Confirm and schedule appointments for the assigned office and out-of-town clinics
  4. Manage incoming calls, deliver and return messages
  5. Utilize True Block scheduling to maximize test opportunities
  6. Order and sell products
  7. Perform general office and administrative duties such as pulling customer charts, stocking supplies, invoicing, data entry, preparing clinic schedules, receiving repairs, processing mail and payments, and mailing supplies and hearing aids
  8. Follow up with customers and leads
  9. Process clinic forms related to customer care, financials, and insurance
  10. Develop and execute lead generation activities through community outreach and networking
  11. Manage customer database and call lists
  12. Submit and follow up on insurance claims
  13. Manage accounts receivable and payable
  14. Handle cash management, including deposits and sales reconciliation
  15. Make sales calls to generate business
  16. Assist Hearing Care Professionals as needed
  17. Maintain a clean work environment through various cleaning duties
  18. Follow all Beltone policies and procedures
  19. Perform other duties as assigned

Desired Qualifications :

  • High School diploma or equivalent
  • Preferred: 2 years of office experience
  • Preferred: 2 years of sales and customer service experience
  • Well-organized with the ability to multitask effectively
  • Effective communication skills in English, both verbal and written
  • Proficiency in MS Office and good computer skills
  • Ability to sit at a desk for 70%-90% of the workday
  • Self-motivated and highly organized
