Document Management & Control Administrator

Introduction
We are currently seeking aDocument Management & Control Administratorto join our client’s team in the Sarnia-Lambton region. Reporting to the Performance Optimization Leader, you will be accountable for the management of documentation for the petrochemical facility’s program. This will include documentation control tasks for multiple sustaining capital and expense projects throughout the project lifecycle, including pre-project studies, front end loading, detailed design, procurement, construction, commissioning and closeout. In addition, you will support the program’ teams with monthly reporting, workflow management, and compiling documentation packages.
Key Responsibilities:
- Create and maintain projects within SmartPlant Foundation (SPF), SharePoint, TEAMS, and other platforms
- Maintain records of document approval processes/workflows and sign-offs as needed
- Manage access to documentation, archive files & complete periodic audits of files structure, ensuring documents meet meta data expectations
- Establish, implement & enforce document management standards
- Engage with ME Documentation Control team and ensure alignment with documentation aspects of Engineering standards
- Work with Project Manager(s), and other key individuals to devise, implement and document any Document Control Variances required by the Project
- Assist team members in locating and using documentation resources
- Assemble, issue & track documentation packages
- Effectively manage inquiries, fostering clear communication with Designers, Engineering Disciplines, Engineering Partners, and Project Managers
- Coordinate with the Engineering Information Management (EIM) team to ensure Engineering Partner firms have appropriate and timely access to documentation
- Coordinate document transfers between internal and external parties, ensuring documents are received, with proper revision control and recording transmittals (incoming & outcoming)
- Assemble and file vendor data books
- Periodically audit Engineering Partner documentation alignment with documentation & identify and resolve discrepancies
- Oversee redline process (control, track, & manage updating of engineering documents)
- Ensure redline changes are reflected in updated drawings and specifications (working closely with CAD/Design teams)
- Efficiently carry out project reconciliation and closeout activities within appropriate platforms
Requirements
- Minimum Grade 12 education with 4 plus years combination of applicable post-secondary education and related document control experience.
- Exceptional interpersonal skills and ability to develop effective working relationships with internal and external clients
- Strong organizational and advanced computer skills are essential
- Experience with SharePoint, SAP, TEAMS, and SmartPlant suite of tools
- Experience working with engineering standards, document control processes, and various electronic drawing file formats would be an asset
- Experience with construction contract administration would be an asset
- Proven ability to adapt to changing role requirements through project progression
- Proven track record of exceptional customer service coupled with strong interpersonal skills
- Proven capability to adapt seamlessly and make meaningful contributions in a dynamic environment, while working supportively within the team
- Self-starter with the ability to perform independently, effectively prioritize and make sound decisions within the framework of the position
