Job summary

Aecon is seeking a Document Control Manager to lead the development of document control guidelines and manage project correspondence for major Canada-based projects. You will define processes, implement tools, and ensure compliance with client requirements throughout the project life cycle.

Reporting to the Project Manager, you will coordinate internal and external stakeholders, drive continuous improvement of document workflows, and mentor staff while maintaining the highest safety and quality

Responsibilities

  • Createdocumentcontrolguidelines and responsibilities and ensure these are executed and followed appropriately
  • Implement adocumentmanagement team and system in line with the needs of the organization including but not limited to project initiation for various projects within the organization
  • Define and implement the tools, systems, policies and procedures necessary to effectively managedocumentcontrolrequirements
  • Act as the main point of contact fordocumentcontrolwith internal and external stakeholders
  • Establish document management best practices and opportunities for continuous improvement
  • Develop and implement work processes and procedures such as Operations and MaintenanceDocumentReviewControl, Design/EngineeringDocumentReviewControl, CorrespondenceControl, Contract or Vendors Data Management, Standards Management, Project Standards andDocumentNumbering
  • Design and implement detailed work instructions to support the approved procedure
  • Ensure all document management equipment (hardware, software, etc.) is effectively maintained
  • Monitor staff performance and quality of work through providing coaching/mentoring and training
  • If required, set up hard copy filling system with wet signature hard copy filing
  • Champion the development of improveddocumentworkflows to reduce timelines

What Is The Opportunity?

Reporting to the Project Manager, the Document Control Manager will be a key member of the project team. The successful candidate will be responsible for defining and implementing processes, policies and procedures in order to establish document management best practices. They will also support operations through the effective management of all project correspondence through the life cycle of the project, in compliance with client requirements.
