The focus of the Students division is to serve and support the academic and non-academic growth and development of students. We support the University’s mission by assisting students, staff and faculty through a variety of departments, including: Admissions, Recruitment and Transfer Credit, the Office of the Registrar (Awards, Academic Scheduling & Curriculum, Records, Registration and Financial Aid), Student Success and Learning (Academic Advising, Student Community Standards, Student Experience, Student Learning Services),Access and Inclusion Services, Career Services, Wellness Services, Cougars Athletics and Recreation, the Iniskim Centre, International Education, Residence Services, Student Systems and Student Communications.
The Office of the Registrar supports the University’s mission by acting as an administrative hub providing student and faculty services in Registration, Financial Aid, Student Awards, Records, as well as Graduation and Convocation. The Office is also responsible for curriculum management and University scheduling services.
Reporting to the Registrar & AVP, Enrolment Management the Director, Records, Curriculum and Scheduling, has strategic and functional responsibility for the Records and Scheduling departments within the Office of the Registrar. Specifically, the incumbent will provide leadership to the Records and Scheduling teams by developing and guiding the implementation of the goals and objectives of the Enrolment Management unit. The incumbent will provide strategic direction to facilitate effective records management and graduation evaluations; develop and implement effective Scheduling processes to ensure a successful academic timetable for each semester; ensure effective and efficient implementation of policy, including fair and equitable treatment of all students; and oversee the curriculum process ensuring that each curriculum submission goes through the appropriate reviews and approvals. This position is responsible for the planning and execution of the student components for each Convocation ceremony every year.
This position has a high level of complex work that consists of leadership, project management, community engagement, operations oversight and staff supervision. The incumbent is expected to establish and lead a supportive work environment, establish best practices, inform decision making within the area, participate in the development and implementation of academic policies, and contribute to the creation and implementation of projects and new initiatives.
The incumbent is required to work closely and collaboratively with Deans, Associate Deans, Chairs, Advisors, Directors as well as faculty, staff and students across the institution. There is an expectation that this position will participate in the execution of the strategic plans to meet admission, enrolment and graduation targets each year.
Provide strategic direction to Records and Scheduling to ensure their day to day work is in line with both Mount Royal’s and the Student Division’s strategic plans
Provide operational direction and support to direct reports in a manner consistent with a collaborative work environment
Engage in the ongoing collection and analysis of qualitative and quantitative data related to the area in an effort to continually improve business processes and service standards, as well as to achieve outcomes that are in line with the strategic enrolment plan
Oversee the development and implementation of solutions for addressing service, reporting, personnel and/or related issues
Provide strategic direction to the Records and Scheduling departments in regards to the implementation of new or planned changes to processes. This includes risk analysis and communication strategies for both internal and external clients
Ensure consistent and equitable application of academic policies, procedures, and deadlines. Manage exceptions in a manner that preserves operational and institutional integrity
Oversee critical applications that are required to maintain accurate student records and evaluate graduation eligibility; the creation of the academic timetable for each semester; and manage all curriculum updates and changes
Foster productive working relationships with senior administration, academic and administrative staff throughout the institution
Establish and maintain relationships with members of professional associations, colleagues from other post-secondary institutions and government agencies to establish best practices and inform decision making in regards to registration management, financial aid and student award requirements and timelines
Maintain a broad understanding of the relationship between policy, internal business procedures and timelines for program implementation, coordination, suspension and termination
Manage curriculum related escalations, including those that may be precedent setting, or misaligned with policy or legislation
Work collaboratively with many areas across campus to ensure Convocation runs smoothly every year
Participate in the development and review of new and existing policies
Advise on strategy for enrolment planning, data integrity and policy development
Bachelor’s Degree required
6 to 10 years of experience in a post-secondary environment with understanding of industry standards. Including several years of progressively responsible experience in post-secondary administration and service delivery (preferably enrolment and/or registrarial services).
Demonstrated ability to effectively manage high volumes of complex work and conflicting priorities to meet deadlines.
Strong commitment to high quality, student-centered service including continuous process improvement.
Critical thinking, creativity, problem-solving, negotiation and persuasion skills – strong analytical and judgment skills required
Excellent oral and written communication skills
Leadership skills to direct and motivate staff within the unit
Hands-on expertise using student information systems (preferably Banner Student) with the ability to develop and generate various types of reports.
Experience developing and implementing business plans and policies is preferred.
