The Director of Operations is a strategic and results-driven leader responsible for overseeing and optimizing the operational efficiency and scalability of HopeWorks Canada Ltd. Reporting to the Chief Executive Officer (CEO) and accountable to ADRA Canada, the organization's sole shareholder, the Director of Operations will play a pivotal role in driving operational excellence and sustainable financial growth. This position will provide strategic oversight for the Hope Harvest and Hope Residence business streams, ensuring alignment with the organization's mission while enhancing overall performance and long-term success.

KEY RESPONSIBILITIES

Strategic Growth management (25%)

  1. Develop and implement the organization’s strategic plan ensuring alignment with the organization’s mission and goals.
  2. Develop, implement and oversee growth strategies to scale the organization’s business products and services in the Canadian market, ensuring alignment with best practices and the organization’s mission and goals.
  3. Develop, implement and oversee the organization’s operational plan and budget, ensuring cost-effective use of resources while maximizing impact.
  4. Oversee daily operations of the organization’s business products and services, ensuring operational excellence in production, sales, marketing, and research and development to drive process improvements.
  5. Collaborate with cross-functional departments of ADRA Canada to provide the necessary financial and marketing support for business operations.
  6. Develop policies, procedures, and systems for operational effectiveness, efficiency, productivity and impact measurement.
  7. Report to the CEO on meeting organizational mandates and performance of business products and services.

Financial & Budget Management (20%)

  1. Lead development of budgets, financial forecasts, and performance metrics to track financial performance of the organization’s business products & services and adjust operations accordingly.
  2. Manage the organization’s business product and services budgets and expenses and ensure cost-effectiveness.
  3. Identify cost-saving opportunities without compromising quality or service delivery.
  4. Increase profitability of business products and services to ensure sustainability of ADRA Canada’s social programs.
  5. Ensure compliance with financial regulations, grant requirements, and funding agreements.

Quality Control & Compliance (15%)

  1. Ensure compliance with company policies, industry regulations, and legal requirements.
  2. Implement quality control measures to maintain high product and service standards.
  3. Conduct risk assessments and develop mitigation strategies.

Stakeholder & Vendor Management (15%)

  1. Coordinate with internal departments, suppliers, and external partners.
  2. Lead negotiation of contracts, purchasing and management of vendor relationships.
  3. Build relationships with key stakeholders to enhance operational effectiveness.

Impact & Performance Management (10%)

  1. Establish key performance indicators (KPIs) to measure operational success of the organization’s business products & service.
  2. Implement data-driven decision-making processes to assess the effectiveness of the organization’s business product and services.
  3. Prepare reports and present insights to CEO and Board for decision-making.

Logistics (15%)

  1. Manage the supply chain and import process for the organization’s business products ensuring quality control.
  2. Ensure compliance with Canadian import regulations.
  3. Manage demand forecasting and order fulfillment and logistics to ensure timely order processing and distribution to customers/retailers.
  4. Maintain relationship with distributing partner(s).
  5. Oversee warehousing and inventory levels.
  6. Develop and implement logistics plan for online sales.
  7. Develop strategies to reduce risk and maximize cost-savings without compromising quality.

EDUCATION, EXPERIENCE AND CORE COMPETENCIES

Essential

  1. Master’s degree in business administration, operations or supply chain management, public administration or related field required.
  2. Minimum of 7-10 years of experience in executive level management, preferably in a social enterprise or impact-driven business.
  3. A citizen or permanent resident of Canada or the ability to legally work in Canada, by virtue of holding a current valid work permit (if required).
  4. Strong ability to make decisions and initiate action by making prompt, clear decisions which may involve tough choices or considered risks.
  5. Excellent Leadership & Supervisory skills – Able to provide others with a clear direction and set appropriate standards of behaviour.
  6. Excellent Persuasion & Influencing skills – Able to makes a strong personal impression and gain clear agreement and commitment from others.
  7. Proven ability to formulate implement operational strategies and processes to realize organizational goals.
  8. Strong financial management and budgeting skills with understanding of social enterprise funding structures.
  9. Exceptional communication and interpersonal skills.
  10. Proficient in Microsoft Office Suite and communication/collaboration applications such as SharePoint, Zoom, Teams etc.

Preferred

  1. Project Management certification.
  2. Fundraising experience.
  3. International business experience.
  4. Proficient in project and workflow management tools.
  5. Familiarity with logistics and supply chain software.
  6. Written and oral communication skills in French.

TERMS AND CONDITIONS

The terms and conditions shall be read in conjunction with the HopeWorks Canada Ltd’s Human Resources Manual (as amended from time to time), the contents of which form part of the employee’s obligations to ADRA Canada. The obligations of ADRA Canada are as set out in the HopeWorks Canada Ltd’s Human Resources Manual and the applicable employment standards legislation and regulations, whichever obligations are greater. The employer will have no other obligations except as expressly set out in a written employment contract.

Performance Review: A Performance Review will typically be conducted after the first three months in the position. All employees will be required to participate in semi-annual Performance Reviews.

Working Conditions: Essential responsibilities are performed either in the office or in travelling conditions.

  1. Within the office , the work is primarily in a sedentary and comfortable environment, with tasks usually performed under normal office conditions with little or no noticeable discomfort. The work area is well lit and ventilated.
  2. If travelling (international and/or domestic) there will be difficult conditions and challenging environments, particularly to destinations in the developing world.
