Director of Finance and Administration

We are looking for a talented, dynamic, and experienced Director of Finance and Administratio n to join our team.

Come work with the InspireHealth team in this full-time permanent position. Based out of our Vancouver office, and reporting directly to the CEO, this position is perfect for a talented finance and senior administration professional. This is an excellent opportunity for a candidate looking to excel in a position that requires financial and business operations oversight and leadership, team building, strategic thinking, and the ability to balance a dynamic portfolio while making a difference in the lives of people affected by cancer.

A Little About this Position :

The Director of Finance and Administration reports directly to the CEO and as a key member of the senior leadership team, plays an integral role in driving the organization’s strategic goals and objectives. This is a tremendous opportunity for a mission-driven leader to maximize and strengthen the finance and business operations of a well-respected, high-impact organization.

The successful candidate will implement the infrastructure and systems needed to support the organization’s strategic goals. They will actively lead a team of staff and contractors in the following areas : finance and accounting, administration and clinic support operations, human resources, and IT. The candidate will continually evaluate best industry practices in comparison to internal systems and needed resources, with an eye toward both future needs, budget realities and risk mitigation.

InspireHealth is a not-for-profit supportive cancer care organization partially funded by the BC Ministry of Health. For over 25 years, we have provided supportive cancer care to enhance the quality of life, health and well-being of people living with cancer and their families. We offer life-changing, one-on-one and group support including exercise therapy, stress management, nutrition, and counselling services.

A Little About You :

  • At least 7-10 years of overall professional and finance experience, including a minimum of 3 years in a leadership role. Experience in a non-profit organization and operations management in a clinical setting is a strong asset.
  • Demonstrated experience in financial management and accounting including experience with audit, legal compliance, and budget development. You are proficient in using accounting software and tools and have a strong knowledge of GAAP, financial regulations, compliance reporting and non-profit accounting practices.
  • Your experience includes hands-on management of key operational areas including human resources, administration and IT. Technologically savvy, with experience overseeing information technology staff or vendors, and experience assessing, selecting, and implementing software solutions.
  • Experience in process and policy development and improvement.
  • Experience in tracking, translating and communicating financials for fundraising purposes, including effective case for support development and reporting.
  • Experience in effectively communicating key data, including presentations to senior management, the Board, or other outside partners / influencers / clients.
  • Success seeing beyond the numbers, identifying financial and operational trends, and opportunities for growth and improvement.

  • Areas of Your Responsibility :

    Work with the senior leadership on strategic planning and effectively lead a team to achieve the organization’s strategic goals as they relate to financial sustainability and business operations. Continually evaluate and implement best industry practices with an eye toward both future needs, budget realities and risk mitigation.

  • In coordination with the CEO, establish goals and targets for the Finance and Administration areas of the organization and ensure that a strategy and operational plan are in place to attain those goals. Implement and track metrics to achieve goals and determine activities to address underperforming areas.
  • Direct the provisioning of staff and resources to implement the infrastructure and systems needed to support the organization’s strategic goals.
  • Identify and implement processes and procedures that contribute towards continuous improvement in operations.
  • Mentor and manage team in alignment with the supportive culture and integral values of the organization.
  • Oversee budgeting, forecasting, preparing monthly / quarterly statements, cash flow, and coordination of audit activities, accounts payable and receivable, as well as compliance and filings. Skillfully utilize key data and processes in order to assess the current and future funding needs of the organization and mitigate risk.

  • Analyze and present financial reports in an accurate and timely manner; clearly communicate monthly, quarterly and annual financial statements; collate financial reporting materials for all donor segments, and oversee all financial, project / program and grants accounting.
  • Coordinate and lead the annual audit process, including liaising with external auditors and board finance committee, preparing audit working papers, and implementing process improvements as identified.
  • Oversee and lead annual budgeting and planning process in conjunction with the CEO; administer and review all financial plans and budgets; monitor progress and changes and keep senior leadership team abreast of the organization’s financial status including managing organizational cash flow and forecasting.
  • Leverage better software and technology solutions for a robust and efficient contracts management and financial management / reporting system; ensure that the contract billing and collection schedule is adhered to, and that financial data and cash flow are steady and support operational requirements.
  • Collaborate with senior management to track, translate and communicate financials for fundraising purposes, including effective case for support development and reporting.
  • Update and implement all necessary business policies and accounting practices; improve the finance department’s overall policy and procedure manual.
  • Effectively communicate and present critical financial matters to the board and other stakeholders.
  • Administration, Human Resources, and IT

    Oversee organization’s business operations and processes in the areas of Administration, Human Resources and IT, with a goal of continuously developing and improving systems to better serve our patients and support our staff.

  • Oversee the organization’s care coordination / front desk team to ensure optimal patient experience and operational effectiveness. Work with the Director of Clinical Services to ensure adequate administrative support for all clinical programming, both in-person and virtual.
  • Ensure operational effectiveness of organization’s technology and software needs including IntraHealth patient medical records system, website patient functionality including scheduling system, and all other operational platforms including Telus Business Connect, Zoom, Microsoft 365 and Humi. Evaluate and improve InspireHealth’s information technology infrastructure, implementing new technologies to support key capabilities as required for future growth, and to support and drive key initiatives.
  • Further develop InspireHealth’s human resources, enhancing professional development, compensation and benefits, performance evaluation, training and recruiting. Establish and manage a comprehensive training program to educate employees regarding cultural safety, privacy, staff tools, policies, and procedures.
  • Oversee other administrative functions including facilities and office management, data analytics, contracts, and policy renewals to ensure efficient and consistent operations as the organization scales.
  • Regularly analyze key data points and provide insights and recommendations to senior leadership to inform and influence strategic activities.
  • Manage external partners including third-party vendors and consultants, as required, to support the needs of the organization.
