Position Summary

Reporting to the Vice President, Academic and Student Affairs, the Director of Academic Logistics is responsible for academic logistics, management, strategy, and continuous improvement. This role works closely with the Vice-President, Academic and Student Affairs, and Deans to bridge academic planning with institutional operations; they oversee evidence-based, coordinated, year-prior planning that integrate scheduling, spaces, workload, and enrolment for accurate financial stewardship. As such, this role provides a critical point of contact for other departments, ensuring that the unique needs of each Faculty are understood and reflected in College-wide planning.

The Director also works to identify opportunities and optimize operational efficiency across all Faculties. They consult on policy development and institutional guidelines to enhance academic planning and service delivery with informed recommendations.

The Director leads the planning and management of academic resources-including financial, human, physical, and instructional assets. This includes oversight of scheduling, faculty workload (SWF), specialized facilities, and capital planning. The role supports evidence-based decision-making through the collection and analysis of operational data (e.g., enrolment, space utilization, faculty deployment), ensuring alignment with strategic enrolment, financial stewardship, and learner success priorities. The Director is a collegial leader who collaborates with colleagues towards shared divisional and College goals.

The Director supervises a Faculty-based team of Academic Logistics Managers, ensuring consistent, streamlined processes and high standards of service are maintained across the institution.

Responsibilities

Academic Operations and Resource Planning

  • Establish and maintain standardized operational processes and reporting mechanisms to support the implementation of approved curriculum.
  • Develop and enforce policies related to the assignment of faculty and other instructional resources for all academic programs.
  • Coordinate and oversee contract processes for non-full-time faculty, with a focus on streamlining and aligning practices with institutional standards.
  • Collaborate with Deans, VP, and IT stakeholders to develop systems that support allocation and optimize utilization of faculty, technologists, and program coordinators.
  • Optimize systems in partnership with DARO and IT for efficiency and transparency, including for Faculty Load Assignment Contracts (FLAC).
  • Monitor faculty workload utilization across the division and prepare regular reports to support decision-making by the VP and Deans.
  • Liaise with Labour Relations, Investigations, and other HR teams in navigating Collective Bargaining Agreement interpretation and application, as well as resolving complaints and proactively addressing potential issues.

Strategic Leadership and Team Management

  • Provide direct supervision and strategic leadership to the team of Academic Logistics Officers, ensuring consistent service delivery across Faculties.
  • Lead the development and implementation of new tools and processes that support the work of Deans and Associate Deans.
  • Identify and promote opportunities for shared operational resources across Faculties and academic units to enhance efficiency.
  • Contribute to portfolio business planning and team goals and metrics that deliver on the strategic goals.

Financial Oversight and Budget Management

  • Collaborate with Finance, Facilities, and Capital Planning to ensure academic budgets are managed in accordance with institutional policies and priorities.
  • Coordinate the development of Faculty-level budgets through a standardized and transparent process.
  • Prepare and manage the centralized Academic Division budget on behalf of the VP.

Institutional Planning and Operational Support

  • Collaborate with Scheduling and coordinate academic Logistics Managers effectively to optimize the use of instructional space and facilities.
  • Develop short-, medium-, and long-term instructional capital plans in collaboration with the Deans, aligning with academic needs and growth projections.
  • Identify specifications for data and planning tools with academic leaders in support of evidence-based decision-making.
  • Partner with the VP, Deans, and Enrolment leaders to assess and adjust enrolment plans, updating budgets and instructional resources accordingly.

Qualifications / Experience

  • Four-year degree in Business Administration, Management, Human Resources, Education, or another related field, together with a relevant professional qualification; or a combination of education, training, and experience that demonstrates equivalent knowledge, skills, and abilities.
  • Relevant professional qualifications may include completion of a graduate certificate or equivalent (such as Human Resources Management, Data Analytics, Accounting, Financial Planning, etc.) or professional designation / certification with a recognized, relevant professional association (such as CHRP / CHRL, CPA, CFA, CIM, etc.).
  • Eleven (11) years of experience within the public sector (ex. education, healthcare, government) in operations or administration, including scheduling, staffing, and / or space management.
  • Preference for experience within a post-secondary institution, including enrolment planning and / or oversight of academic scheduling, curriculum implementation, or faculty workload planning.
  • Strong familiarity and experience in a unionized environment, including application of processes, practices, and terms prescribed in Collective Bargaining Agreements.
  • Previous experience navigating union relations and appropriately addressing or mitigating complaints, grievances, appeals, etc.
  • Demonstrated leadership experience in managing teams or cross-functional groups, including direct supervision, development, and performance management.
  • Experience developing and managing operational policies and procedures that support planning and delivery of key business operations and services.
  • Demonstrated understanding of budget planning, financial oversight, and resource allocation in an academic or public sector environment.
  • Hands-on experience working with institutional data systems (ex. information systems, scheduling tools, budgeting platforms) to support operational analysis and reporting.
  • Experience leading or supporting capital planning, space management, or facility utilization projects.
  • Demonstrated record of successful collaboration with organizational leaders to implement strategic initiatives and improve operational outcomes.
  • Strong interpersonal skills, including tact, diplomacy, and relationship management.
  • Communication skills to collaborate and work effectively with internal stakeholders, government ministries, provincial associations, and other relevant institutions.
