The Canadian International Institute of Art Therapy (CiiAT) is hiring a full-time permanent Digital Systems Coordinator to support our digital infrastructure and ensure a smooth user experience across all platforms.

You’re a strong communicator who can translate complex technical concepts into clear, user-friendly language for instructors, clinicians, and staff. You’re self-directed, proactive, and able to anticipate system needs, solve problems independently, and collaborate effectively with both internal teams and external IT providers. You’re highly collaborative and enjoy working with a team, but working remotely is no barrier for you.

What you’ll be doing

The Digital Systems Coordinator is responsible for managing, maintaining, and optimizing CiiAT’s digital infrastructure, supporting education, clinical services, and administrative operations. This role bridges technical and non-technical teams, ensures a smooth user experience across platforms, and contributes to the ongoing enhancement of CiiAT’s digital presence.

Key Responsibilities:

  • Manage and maintain digital systems including Moodle LMS, Notion, Jane.app, and Google Workspace.
  • Ensure system accessibility, usability, data consistency, and coordinate updates and feature rollouts.
  • Collaborate with outsourced IT providers on upgrades, security, and technical improvements.
  • Build and manage Moodle courses, including cohort setup, course copying, and user management.
  • Provide training and technical support to instructors, students, and staff across platforms.
  • Support clinicians with the administrative use of digital tools and integration with other systems.
  • Enhance and maintain the CiiAT website for clarity, accessibility, and user engagement.
  • Integrate digital tools (e.g., Gravity Forms, WooCommerce, CRM) to improve operations and user experience.
  • Monitor and respond to support inquiries, and communicate technical updates in user-friendly language.
  • Track digital project progress, report to leadership, and recommend new technologies to support growth.
  • Document technical procedures and support internal knowledge sharing.

Qualifications

  • Minimum 2 years of professional experience in system administration, educational technology support, or a related technical support role.
  • Proven experience managing and maintaining digital platforms such as Moodle (or similar LMS), Notion, Google Workspace, and clinical or CRM systems (e.g., Jane.app, HubSpot, etc.).
  • Strong technical troubleshooting skills with a track record of supporting diverse users (instructors, clinicians, students, staff) across digital tools.
  • Experience building and managing online courses and user permissions within an LMS.
  • Experience working on website content updates utilizing integrations (e.g., WooCommerce, Gravity Forms).
  • Experience coordinating with outsourced IT providers or internal tech teams for upgrades, troubleshooting, and system enhancements.
  • Post-secondary diploma in Information Technology, Computer Science, Educational Technology, or a related field would be considered an asset.

Job Requirements

  • Clear Criminal Record Check with Vulnerable Sector Search is required prior to employment.
  • Reliable internet connection and access to appropriate workstation equipment (computer, headset, webcam) in a private and distraction-free space to support remote work.

Employees are eligible to participate in a Personal Health Savings Plan (PHSP) once their probation has been successfully completed.

Work Expectations
Most tasks for this position are completed during the regular workweek (Mon – Fri, 9AM – 5PM). Ability to work in Pacific Standard Time regular office hours. Occasional evening and weekend work may be required depending on program needs. May require occasional overtime, especially during critical periods.
