Kingston Health Sciences Centre (KHSC) is seeking a part-time Diagnostic Imaging Secretary to provide essential administrative support within the Diagnostic Imaging team. You will welcome patients, register information, schedule and coordinate imaging appointments, and manage requisitions to ensure timely service delivery.

  • Two-year Office Administration Health Services Diploma or equivalent.
  • Minimum two years of recent administrative experience in healthcare or clinical settings.
  • Strong knowledge of Microsoft Office, including Outlook.
  • Proficiency in medical terminology and data-entry accuracy.
  • Typing speed of 40 WPM with 90% accuracy and excellent customer service.
  • Ability to work independently and collaboratively in a busy environment.

Responsibilities

  • Welcome and register patients arriving for imaging appointments.
  • Verify patient information and maintain accurate records.
  • Coordinate imaging appointments and communicate details to patients and staff.
  • Process imaging requisitions and maintain patient files.
  • Support the distribution of diagnostic reports and ensure privacy standards.
  • Enter patient data across multiple hospital information systems with accuracy.

Hours of Work

This is a Temporary Part-Time position with rotating shifts:

  • 7:00 a.m. - 3:00 p.m.
  • 8:00 a.m. - 4:00 p.m.
  • 10:00 a.m. - 6:00 p.m.
  • 12:00 p.m. - 8:00 p.m.

Successful candidates may be required to work at:

  • Kingston General Hospital Site
  • Breast Imaging Kingston

Please note that shift schedules and work assignments may be adjusted based on operational requirements.

About the Role

As a member of the Diagnostic Imaging team, the DI Secretary provides essential administrative support that helps ensure patients receive timely and efficient imaging services.

Reporting to the Clerical Coordinator, you will be responsible for patient registration, appointment booking, requisition processing, communication with patients and healthcare providers, and maintaining accurate patient information within various healthcare information systems.

What You'll Do
  • Welcome and register patients arriving for imaging appointments.
  • Verify patient information and maintain accurate records.
  • Assist patients, families, physicians, and healthcare providers with professionalism and compassion.
  • Respond to inquiries in person and by telephone.
Appointment Scheduling & Coordination
  • Schedule, reschedule, and coordinate imaging appointments.
  • Communicate appointment details, preparation instructions, and wait-time information.
  • Coordinate bookings with physicians, technologists, nurses, and other departments.
  • Manage cancellations, urgent requests, and appointment changes.
Administrative Support
  • Process and review imaging requisitions for completeness.
  • Maintain accurate records and patient files.
  • Scan, organize, and distribute documentation appropriately.
  • Support the distribution of diagnostic imaging reports and images.
Information Systems & Data Accuracy
  • Enter and maintain patient information accurately across multiple healthcare systems.
  • Utilize hospital information systems, scheduling platforms, and imaging databases.
  • Ensure confidentiality and privacy standards are maintained at all times.
  • Contribute to quality improvement initiatives.
  • Support patient safety through attention to detail and adherence to established procedures.
  • Adapt to changing processes and operational needs.

Required Qualifications
  • Two-year Office Administration Health Services Diploma or an equivalent combination of education and experience.
  • Minimum two years of recent administrative experience in a healthcare or clinical setting.
