Job description

POSITION SUMMARY:

Under the supervision of the Supervisor and the guidance of the Division’s director and managers, provides customer service, technical support, and clerical duties to support the Department’s activities.

MAJOR RESPONSIBILITIES:
  1. Provides clerical services including mail distribution, web editing, electronic report creation, filing, typing, scanning, copying, faxing, mailing, and recording meeting minutes.
  2. Supports digital development applications, housing, Community Improvement Plan, and other Development Services programs.
  3. Responds to inquiries via electronic, telephone, and in-person, screens calls, interprets by-laws, opens complaint files, and directs files to appropriate staff.
  4. Prepares and distributes letters and notices related to planning, building, and realty issues; manages volume mailings.
  5. Supports updates to the City’s Official Plan and Zoning By-law.
  6. Collects fees, issues receipts, and maintains financial records for applications, permits, licenses, and sales.
  7. Balances departmental receipts, maintains cash journals, and ensures correct deposits.
  8. Manages departmental files and archives according to procedures.
  9. Inputs data into records-management systems and reports on data.
  10. Maintains office supplies inventory and processes printing orders.
  11. Performs other related duties as assigned.
QUALIFICATIONS:
Education/Experience:
  • Secondary school diploma.
  • Two years of related office experience or equivalent combination of education and experience.
Skills/Abilities:
  • Strong interpersonal, verbal, and written communication skills.
  • Basic proficiency in word processing, spreadsheets, and online data entry.
  • Courteous and tactful when dealing with the public.
CONDITIONS OF EMPLOYMENT:
  • Successful completion of Criminal Record and Judicial Matters Check (CRJMC).
