Job description

POSITION SUMMARY: Under the direct supervision of the Supervisor and the technical direction and guidance of the Division’s director and various managers, provides customer service, customer and internal technical support and general clerical duties in support of all of the Department’s activities.

MAJOR RESPONSIBILITIES:

  • Provides clerical services for the Department, including but not limited to the following: distributing incoming mail; web editing, electronic accessibility, creating and formatting electronic reports, presentations and content, filing, typing, formatting, scanning, copying, faxing and mailing a variety of correspondence, documents, and forms; and scheduling and recording minutes of meetings.
  • Provides customer and clerical support for digital development applications, housing, Community Improvement Plan and other Development Services programs and initiatives.
  • Responds to electronic, telephone and counter inquiries, provides initial screening, interpret by-laws to the public, opens complaint files, and refers files to appropriate staff within the Department.
  • Assists in the preparation and distribution of various standard letters and notices relating to a variety of planning, building, and realty issues and participates in activities associated with volume mailings.
  • Provides the clerical support required to maintain and update to the City’s Official Plan and Zoning By-law.
  • Collects fees and issues receipts for various applications, permits, licenses, agreements, and counter sales.
  • Balances daily departmental receipt journal, completes entries on cash journal sheets, maintains books of account and ensures correct deposit for pick up.
  • Opens, maintains, and archives various Department files in accordance with Department procedures.
  • Maintains records and inputs data into records-management applications and reports on data.
  • Maintains inventories of office supplies and processes orders for printing.
  • Performs other related duties as assigned.

QUALIFICATIONS:

Education/Experience:

  • Secondary school graduation; and
  • Two years of related office experience; and
  • Two years of proven experience providing high quality customer service; and
  • Related payment and cash handling experience
  • Equivalent combination of education and experience

Skills/Abilities:

  • Demonstrated interpersonal, verbal and written communication and organizational skills are essential
  • Must be at a basic skill level in word processing and spreadsheet software and must possess basic on-line data entry skills
  • Must have good customer service and communication skills and be courteous and tactful in dealing with the public.

CONDITION OF EMPLOYMENT:

  • Must undergo a successful Criminal Record and Judicial Matters Check (CRJMC)
