Program Overview – Counselling & Support Services

This position reports to the Manager of Housing Access, Partnerships and Tenant Supports for the provision of enhanced housing help and relocation initiatives. Operating within the Housing and Housing Access Department, this position will support a data migration project for WoodGreen’s Housing application management system. This role will focus on transferring data from legacy application files into a new application system, ensuring accuracy, completeness, and consistency throughout the process.

What You Will Do

  • Accurately enter information from historic applications into a new digital system.
  • Validate and cross-reference data between legacy systems and new system.
  • Manually enter and validate information from old waiting list into new system.
  • Identify and correct data inconsistencies, omissions, or errors in legacy records.
  • Collaborate with team to identify and resolve data issues and discrepancies in data.
  • Review historic files and provide feedback on strategies for storing files and ensuring their continued accuracy and organization in the future.
  • Upload and match supporting documentation to corresponding applications.
  • Communicate with internal teams to confirm missing or unclear information as needed.
  • Ensure data integrity, confidentiality, and compliance with relevant policies and regulations.
  • Provide status updates on data migration progress and flag any issues encountered.
  • Assist with data collection and program evaluation.
  • Participate in meetings and training to stay informed about relevant policies and procedures.
  • Assist in the creation and development of necessary policies, procedures & guidelines, as needed.
  • Take part in team and unit meetings; and participate in regular supervisory sessions with the Housing Access, Partnerships and Tenant Support Manager.
  • Perform other related duties as required by the Unit Director of Housing and Manager of Housing Access Unit.

What You Bring to the Team

  • Experience with data entry, data validation, or database systems is required.
  • Strong attention to detail and a high level of accuracy.
  • Proficient with digital systems, Microsoft Office Suite, and file management.
  • Experience working with confidential or sensitive information.
  • Ability to follow processes and maintain organized records.
  • Strong communication skills for liaising with internal team members and external community partners.
  • Previous experience with application or case management systems is an asset.
