The net proceeds from all Mission Thrift Stores are devoted to the joint Ministry of Bible League Canada. PURPOSE OF THE POSITION

The Customer Support & Administration provides operational, administrative, facilities, and event coordination support that enables the effective day-to-day functioning of Mission Thrift’s Operations team and Support Centre. This role provides customer service support to stores, donors, shoppers, and loyalty members, and coordinates office operations, organizational meetings and events, and a variety of administrative functions across the organization. Through proactive coordination, exceptional service, and attention to detail, the Customer Support & Administration helps ensure a productive workplace and the successful execution of organizational priorities. The Customer Support & Administration reports to the Director of Operations.

PRIMARY ACTIVITIES

The allocation of responsibilities within this role will vary throughout the year based on organizational priorities, event schedules, and operational needs. While the role is designed as a 70%/30% split between Customer & Operations Support and Facilities & Event Coordination, workload distribution may fluctuate seasonally or in response to business requirements.

1. Customer & Operations Team Support (70%)
Customer & Operations Team Support
  • Provide customer service and loyalty member support responding to email, website, and phone inquiries or directing requests to the appropriate team members as required.
  • Coordinate schedules, meeting logistics and catering requirements, agendas, minutes, action item tracking, room bookings, and follow-up activities.
  • Prepare, format, proofread, and distribute correspondence, reports, presentations, and other documents.
  • Maintain organized contact lists, distribution groups, filing systems, records and document repositories.
  • Support other projects, data collection, and special assignments as requested.
  • Identify administrative process improvements and recommend efficiency enhancements.
  • Crosstrain and provide overflow and backup administrative support across Operations, Finance, committees, and other administrative functions as assigned.
  • Serve as the first point of contact for phone calls, voicemail, and general inquiries.
  • Coordinate office mailings and employee recognition communications.
  • Serve as backup for office and store care support.
2. Facilities & Events Coordination (30%)
Facilities & Office Administration

Manage day-to-day facilities and office operations, ensuring the office environment is safe, organized, stocked, and operationally ready.

  • Procure, monitor, and replenish office, hospitality, and meeting room supplies; manage vendor relationships, service contracts, and facilities documentation.
  • Coordinate repairs, maintenance, and building-related services; liaise with building management, contractors, the Newmarket store, and service providers, including meeting vendors onsite as required.
Meeting & Event Coordination
  • Coordinate and execute end-to-end logistics for all-staff, leadership, board, and other organizational meetings and events, including venue coordination, catering, accommodations, travel, technology, registration, communications, materials preparation, hospitality, and onsite support.
  • Provide logistical and administrative support for Conference and the Annual General Meeting as assigned.
  • Procure, transport, organize, set up, and store meeting supplies, promotional materials, hospitality items, and equipment for organizational meetings and events. Ensure meeting and event spaces are physically configured, stocked, functional, and restored following use.
  • Liaise with meeting owners, vendors, and service providers to determine requirements, obtain quotes, and coordinate event-related purchases and services.
  • Provide minute-taking support as required.
  • Maintain the organizational events calendar and meeting room booking system.
QUALIFICATIONS

Education and Experience:

  • Certificate or diploma in business administration, event management, or a related field. A combination of relevant education and experience will be considered.
  • Minimum 3-5 years of experience in office administration, event coordination, facilities coordination, or a related administrative support role.
  • Demonstrated ability to independently manage multiple projects, deadlines, and logistical details with minimal supervision.
  • Demonstrated experience coordinating meetings and events, coordinating office operations, or providing team-level administrative support.
  • Experience working in a team environment with multiple stakeholders and competing priorities.
  • Comfortable working in a changing environment, able to pivot quickly, remain flexible and work with competing demands and shifting priorities
  • Excellent written and verbal communication skills.
  • Strong attention to detail and ability to manage multiple tasks simultaneously.
  • Professionalism and discretion in handling organizational information.
  • Proficiency in Microsoft 365 Suite (Outlook, Word, Excel, PowerPoint, Teams).
  • Experience with SharePoint and Monday.com considered an asset.
  • Experience in a nonprofit or faith-based organization is an asset.

WORKING CONDITIONS

The Customer Support & Administration will be required to work under the following conditions on a regular basis:

  • Hybrid work arrangement – The ideal candidate will reside within commuting distance of the Newmarket Support Centre and be available to work onsite as required. The role involves a minimum of two days per week at the Newmarket Support Centre, with the possibility of working remote up to three days per week. Periods of increased onsite attendance may be required at times, including occasional full workweeks at the Support Centre office in Newmarket, to support operational needs and event-related needs.
  • Sitting – remaining in a seated position for long periods of time. A sit/stand desk will be provided.
  • Continuous use of computer, keyboard, mouse and phone.
  • Driving – operating a personal passenger vehicle.
  • Occasional lifting, carrying, transporting, and moving of office supplies, meeting materials, hospitality items, and event equipment weighing up to 50 lbs (23 kg) may be required.
  • This role requires flexibility to work outside regular business hours on occasion, including evenings, to support special events and projects
  • Some travel within Canada, some overnight stays required.
  • This role requires travel and attendance at the organizational Annual Conference and Annual General Meeting

EXPECTATIONS
  • $48,000.00 – $55,000.00 annually, with full Health Benefits.
  • A hybrid working arrangement that requires in-office attendance at our Support Centre (located in Newmarket, Ontario) at least two days per week.
